02What the module does
Less routine. More value.
Draivix matches every incoming message to a contact, company, or lead based on the sender's address and can link the entire thread to a project, case, task, or invoice. With one click, you can create a task, meeting, lead, contact, company, or document directly from an email. Sales, support, and management see the full customer correspondence without forwarding emails around.
- Every message finds its customerIncoming messages are matched by the sender's address to a contact, company, or lead (prospect). You see the correspondence right in the record's history.
- The full thread on the right jobAttach an entire conversation thread to a project, case, task, invoice, or any other record. Customer agreements stay with the work they relate to, not buried in someone's personal inbox.
- Follow-up messages file themselvesOnce a thread is linked to a record, every subsequent message in that thread inherits the link. Nobody has to link new replies manually.
- Replies return to the orderOutgoing messages carry a header referencing the records they belong to. When the customer replies, those links are restored and the reply lands on the same order or project.
- Turn emails straight into next stepsCreate a task, meeting, lead, contact, company, document, or template directly from a message. Customer requests don't get lost among read emails, and you never retype data.
- Meetings pre-filled from invitationsWhen an email includes an .ics invitation, the meeting details are pre-filled from it. You don't have to copy meeting details into your calendar by hand.
- Website inquiries captured as leadsIf your website sends inquiries by email, Draivix creates a lead from the web form notification according to your inbox rules. Sales doesn't have to copy and paste inquiries from emails.
- Catch up on older inquiries retroactivelyYou can run lead-creation rules on older emails too. Inquiries that arrived before the rules were set up are processed the exact same way as new ones.
- One message, multiple recordsWhen composing a new message, you can link up to ten related records. An email that covers multiple orders is then easy to find under each of them.
- Privacy with on-request accessA colleague without inbox access sees a locked message in the record history with basic details only and can request to view the content. The owner approves the request, keeping their mail under their control.
- Buttons tailored to your workflowsAdministrators can configure custom buttons and email conversions without coding, such as creating a new case with a pre-filled subject. The system adapts to your company's processes.
- Emails can trigger next stepsCreating or updating an email can trigger automation rules, such as assigning messages from a shared inbox to a team. Repetitive tasks around incoming mail no longer require manual work.
03How it works
How it works step by step.
Automatic matching to customers
When a new message arrives, Draivix matches the sender's address against your contacts, companies, and leads and links the message to them. The correspondence then appears directly in the record's history. Automatic matching can be turned off for specific inboxes.
Read in detail
When you reply to a message from Draivix, the outgoing email carries a header referencing the linked records. When the customer replies, that header ensures their response is filed under the same order or project.
Threads linked to orders and jobs
You can attach an entire conversation thread to any record: a project, support case, task, or invoice. Every subsequent message in the thread inherits that link. The system remembers whether the link was created manually, while composing a message, or by converting an email into a record.
Read in detail
A colleague who doesn't have access to the inbox only sees basic message metadata in the record's history. They can request access to the content, and the inbox owner can grant a preview with a single click. When composing a new message, you can link up to ten related records at once.
Create records straight from an email
Turn an email into a task, meeting, lead, contact, company, document, or email template with a single click. Meetings are pre-filled from attached .ics invitations, and the HR module adds the ability to create a payout from an email. The new record is automatically linked to the conversation thread.

Administrators can add custom action buttons without coding—for example, “New case from this email” with the subject and sender pre-filled. Automation rules can also trigger when an email is created or updated, such as assigning messages from a shared inbox to a team.
Web form inquiries turned into leads
If your website sends inquiries by email, you can set up an inbox rule based on the sender, subject, or recipient. Draivix then extracts the form details from the notification email and creates a lead with the source defined by the rule (“Web Site” by default). The lead retains a reference to the source message and has the email attached.

Rules can also be run retroactively on older mail. Other modules process incoming mail through the same pipeline: support creates tickets from it, marketing tracks campaign replies and bounces, and HR forwards mail while an employee is away.
04What runs automatically
Automations that save time.
New messages appear on the customer right away
When a new message arrives, the system automatically links it to the matching contact, company, or lead. Sales, support, and management see it on the customer record without forwarding.
From form notification to lead
When a web form notification arrives in an inbox and matches its rules, the system creates a lead. Website inquiries go straight to sales without manual retyping.
Threads attached to projects by morning
Every day at 5:30, the ProjectManagement module links new email threads to projects. The project team starts the morning with their correspondence right alongside their work.
Email for support and marketing alike
The system creates support tickets from incoming emails and logs campaign replies. Support and marketing work from the same inbox, with no forwarding required.
What the AI agent handles
Attach a thread to a project
Ask the assistant to attach an email thread to a project (attribute_email_thread). The correspondence is then linked to the job without you having to open the record.
Create a record from a message
On your request, the assistant creates a record from a message (create_record_from_email). You do not have to retype details from the email into the system by hand.
List project emails
The assistant lists the emails belonging to a project (get_project_emails). You can check the status of communication without digging through individual inboxes.
Find what the customer wrote
The assistant searches and reads messages related to a customer (list_my_emails, read_email). Before a call or meeting, you can quickly refresh your memory on what was agreed.
A person approves whenever money, a customer, or an exception is involved.
05Frequently asked questions
How does Draivix know which customer an email belongs to?
It matches the sender's address against contacts, companies, and leads. For replies to messages sent from Draivix, it also uses a header referencing the original records.
Can I attach an email conversation to an order or project?
Yes. You can attach a thread to a project, case, task, invoice, or other record, and every subsequent message in that thread will appear there too.
Can Draivix create a lead from a website inquiry?
Yes. You set a rule on the inbox based on the notification's sender and subject. Draivix extracts the form fields and creates a lead linked to the source message.
Will a colleague without access to my inbox see the email content on the customer record?
No. They will only see basic details in the record history and can request access. The content is revealed only once the inbox owner approves the request.
What records can be created from an email?
A task, meeting, lead, contact, company, document, and email template—and with the HR module, a payroll record as well. An administrator can add further conversions.
