02What the module does

Less routine. More value.

Project management guides a job from an accepted quote through the task plan, costs, and billing milestones all the way to the handover protocol. For every project, your company keeps deadlines, tasks, emails, budget, and margin in one place. Invoices and advance invoices are generated directly from the project payment schedule.

  • Straight from quote to projectConvert an accepted quote into a project in a single step. The quote and project link to each other, making it easy to trace where the job originated.
  • Work plan ready right awayA task plan is generated from a template based on the project type. Running the template again does not duplicate tasks, so there is nothing to clean up manually.
  • View the plan your wayDisplay the plan as a board, a grouped plan, or a Gantt chart with subtasks nested under parent tasks. Everyone on the team can choose the view that suits them best.
  • Project journey across 13 stagesA project moves through 13 stages from inquiry to handover while maintaining an independent status, such as active or on hold. You can see both what stage the work is in and whether it is moving forward.
  • Spot approaching deadlines earlyDeadline status is shown by the row color in the project list. In addition, the system sends a morning alert when a project has 10 days or fewer left before its deadline.
  • Payments broken down into milestonesSplit the contract amount into milestones by percentage or fixed amount in the payment schedule. You know in advance what and how much you will bill the customer.
  • Paid advances deducted automaticallyIssue an advance invoice and then a final invoice from a milestone. The system automatically deducts the paid advance on the final invoice, so you never have to calculate it by hand.
  • Project margin without digging through spreadsheetsTrack costs and revenues by project. A summary by cost type shows the forecast alongside the margin, so you do not have to piece job economics together from spreadsheets.
  • All projects in one workspaceThe project overview is a dedicated workspace with key metrics, billing, deadlines, and monthly plans. You get a complete picture without having to piece it together project by project.
  • Mandatory documents under controlThe mandatory document checklist is organized by phase, such as contract, execution, handover, and others. You can see right away what is still missing in each project phase.
  • Emails find their own projectEvery day, the system links email threads and contacts to projects. Customer communication stays attached to the job so you do not have to hunt through individual inboxes.
  • Customers can see how work is progressingSend your customer a public read-only link to the task board. You can revoke the link at any time, keeping you in full control of access.
  • Error reports from external systemsThe system can receive error reports from external systems. Intake is disabled by default, so you only turn it on when your business needs it.

What is currently in progress

  • Project time tracking (start and stop timer) does not work in this version.
  • The task board for a project group does not return tasks.
  • Project health is set manually; automatic calculation is not connected.
  • Individual record permissions are not checked in the project overview.
  • Anyone who can view a project can see previews of all linked emails, including those from other users’ inboxes.

03How it works

How it works step by step.

  1. From quote to project and plan

Convert an accepted quote into a project in a single step. The project inherits the customer and description, and the quote and project cross-reference each other.

    Read in detail

The work plan is generated from a task template for that project type. The template can run automatically when the project is created, and running it again will not duplicate tasks. Assignees and deadlines are set by template rules; any task without a designated assignee is assigned to the project manager. View the plan as a board, a grouped plan, or a Gantt chart where subtasks can be nested under parent tasks.

  2. Lifecycle and deadline tracking

A project has a status (draft, active, on hold, completed, cancelled, archived) and, independently of it, a stage: inquiry, NDA, analysis, scope approval, contract phase, technical preparation, development, internal testing, client testing, acceptance, deployment, and handover. Every status and stage change triggers an event that you can link to automation rules.

    Read in detail

Based on the due date, the system calculates the deadline status: on track (more than 30 days), warning (11–30 days), and critical (10 days or fewer). In the project list, this is reflected in the row color. Every morning at 7:00, the system sends a one-time alert for projects that have entered their final 10 days.

  3. Payment schedule and milestone billing

The project payment schedule splits the contract amount into milestones by percentage or fixed amount. The schedule moves through draft, approved, active, and completed statuses. Mark a milestone as ready for billing, issue an advance invoice from it, and then issue the final invoice. A paid advance is automatically deducted on the final invoice, while an unpaid advance blocks the final invoice from being issued.

    Read in detail

Each milestone can have at most one invoice and one valid advance invoice. Once the first invoice is issued, the contract amount can no longer be changed, and the sum of percentages cannot exceed the contract total. Custom rules for when a milestone may be billed (for example, only after all mandatory documents have been supplied) can be added for your company.

  4. Costs, revenues, and project overview

Costs and revenues are tracked by project, with a breakdown by cost type showing plan, forecast, and actuals. Billed amounts, amounts ready for billing, costs, and margin are continuously updated on the project.

    Read in detail

The project overview is a dedicated workspace featuring key metrics, billing, deadlines, and monthly plans. It is accessible to administrators and to the teams or roles you configure.

  5. Customer communication and collaboration

Emails and meetings are linked to the project. Every day at 5:30, the system assigns new email threads and updates project contacts. From meeting notes, the system suggests tasks for a person to confirm; it never creates tasks on its own.

    Read in detail

You can send your customer a read-only public link to the task board with custom status names and hidden columns, and revoke it at any time. Projects also include a mandatory document checklist, handover protocols, roadmaps, satisfaction surveys, and knowledge base articles.

04What runs automatically

Automations that save time.

  1. Early warning before the deadline

Every day at 7:00, the system sends a one-time alert for projects that have entered the final 10 days before their deadline. You have time to react without getting repeated alerts.

  2. Emails in place by morning

Every day at 5:30, the system links new email threads and contacts to active projects. By the time you start work, communication is already attached to the project.

  3. New project with a ready-made plan

When a project is created, a task plan is generated from a template. The team can start working from the prepared plan right away without anyone entering tasks by hand.

  4. Document checklist from day one

When a project is created, the system also generates a checklist of mandatory documents. From day one, it is clear what needs to be documented for the job.

  5. Clear status for every milestone

A milestone is planned, ready for billing, billed, or cancelled. The status updates automatically when you mark the milestone for billing, issue an invoice, or cancel it.

  6. Meeting tasks awaiting confirmation

The system suggests tasks from meeting notes but never creates them on its own. A person confirms them first, so only tasks approved by someone on your team make it into the plan.

  7. Automation driven by project activity

Every change in project status or stage triggers an event that you can link to automation rules. Your company can tailor the workflow to match the way you work.

External integrations

  • Error reports from authorized sourcesExternal systems send error reports over HTTP. The system accepts only authorized sources and enforces rate limits, keeping you in control of who sends reports and how many.

What the AI agent handles

  • Project status in a single question

Ask the AI assistant for a project status summary and it prepares one using the get_project_pulse tool. You do not have to comb through the project record by record.

  • Project emails on demand

The AI assistant uses the get_project_emails tool to find emails linked to the project. You can locate the communication you need without searching through inboxes.

A person approves whenever money, a customer, or an exception is involved.

05Frequently asked questions

How does a quote turn into a project?

You convert an accepted quote into a project. The project inherits the customer and description, and both the quote and the project link back to each other.

Can Draivix bill a project by milestones with advance payments?

Yes. From a payment schedule milestone, you issue an advance invoice and then a final invoice that deducts the paid advance. An unpaid advance blocks the final invoice.

Does the module include a Gantt chart?

Yes. You can view the project plan as a Gantt chart, a board or a grouped plan, and nest subtasks under parent tasks in the Gantt view.

How does the system track project deadlines?

It calculates an on-track, warning or critical status from the deadline and color-codes the row in the list. Every morning, it sends a one-time alert for projects within their final 10 days.

Can time worked be tracked directly on a project?

Direct time tracking on a project is not available in this version. Project costs and revenues are recorded separately.
