02What the module does
Less routine. More value.
Web forms in Draivix turn inquiries from your website directly into CRM leads. Every submission is stored, validated and converted into a lead without manual retyping—optionally creating a follow-up task and an in-app notification for the sales rep. Inquiries never get lost in an email inbox.
- Website inquiries straight into the CRMA form on your website sends data to Draivix via the API, and the system creates a lead—a potential customer record—in the CRM. No inquiry ever gets lost in an email inbox.
- Every detail in the right fieldYou map form fields to name, email, phone, company, IP address and source page. The lead fields are populated automatically so nobody has to retype them.
- Leads arrive pre-sortedThe form settings determine the lead’s status, source and tags, defaulting to status “new” and source “web”. Sales reps can immediately see where every inquiry came from.
- Each inquiry recorded only onceEvery submission carries its own identifier. If the same submission arrives again, the system returns a duplicate status instead of creating a second lead, so your sales rep never works the same inquiry twice.
- Full visibility into every submissionEvery submission is logged with a status: pending, created, duplicate, failed or rejected. In the submission list, you can see everything that arrived and how it was handled.
- See why a submission was rejectedThe system rejects invalid data and saves the submission with a rejected status along with the validation error details. You can easily trace what went wrong.
- Inquiries come with a ready-made taskOnce a lead is created, the form can create a follow-up task for a designated user. When enabled, the sales rep has the next step waiting right in their task list.
- Instant alert for the sales repWhen a lead is created, the system can send an in-app notification if configured on the form. The sales rep finds out about the new inquiry immediately without having to watch the lead list.
- Leads are kept even if a follow-up step failsIf creating the follow-up task or notification fails, the error is logged on the submission while the newly created lead stays intact. You never lose an inquiry because of a secondary error.
- Shared key blocks unauthorized submissionsYou can protect a form with a shared secret key that the sender must pass in the request header. Without it, the system rejects the request.
- Rate limits stop form floodingForm intake enforces its own submission rate limit per domain and IP address, setting a hard cap against repeated spam submissions.
- Mandatory consent on the formThe store form requires a name, email, message and consent, and responds externally only with a confirmation of receipt—without exposing internal data. Submissions without consent are not accepted.
03How it works
How it works step by step.
How it works
A form on your website sends data to the form endpoint in Draivix. Using the configured field mapping, the system maps the input to name, email, phone, company, source page and other fields, validates it and saves the submission. In a single transaction, it then creates a lead with the status and source defined on the form (defaulting to status “new” and source “web”) and attaches tags.
Read in detail
Field mapping, default lead values and follow-up actions are all form settings rather than code, so you can connect a new form without any development work.
Duplicates and invalid data
Every submission carries its own identifier. If the same submission arrives again, the system returns a duplicate status and does not create a second lead. It also checks against existing leads, making repeated submissions safe.
Read in detail
Invalid data is rejected and the submission is stored with a rejected status along with the validation error details. If an unexpected error occurs, the submission is marked as failed together with the error message. From the submission list, you can always see what came in and what happened to it.
Task and notification for the sales rep
Once a lead is created, the form can create a follow-up task for a designated user and send an in-app notification. If creating the task or notification fails, the error is logged on the submission while the lead itself is preserved.
Form security
A form can be protected by a shared secret key that the sender must include in the request header; without it, the system rejects the request. Form intake also enforces its own rate limits by domain and IP address.
Read in detail
The store contact form requires a name, email, message and consent, and responds externally only with a receipt confirmation—never exposing internal details.
04What runs automatically
Automations that save time.
Inquiries instantly become leads
As soon as a visitor submits a form and the data passes validation, a lead is automatically created in the CRM. Nobody has to manually copy inquiries from emails into the system.
Resubmissions never create duplicates
If the same submission arrives again, the system recognizes it as a duplicate and will not create another lead. It also checks existing leads, making repeated submissions completely safe.
Next step ready for the sales rep
Once a lead is created, the system can create a task and send a notification based on the form settings. Sales reps can follow up on the inquiry right away without anyone having to hand it over.
External integrations
- Forms from any websiteThe API accepts form submissions from any website, and you can authenticate the sender with a shared secret key. That lets you capture inquiries into your CRM even from websites that do not run on Draivix.
05Frequently asked questions
How does a web inquiry get into the CRM?
The form sends the data to Draivix, and the system creates a lead from it in a single transaction based on your configured field mapping.
What if a customer submits the form twice?
The system recognizes the identical submission by its identifier, returns a duplicate status, and does not create a second lead.
Does the sales rep get notified about the inquiry?
Yes, if enabled in the form settings. The system creates a follow-up task for the assigned user and sends an in-app notification.
Does it also work with a form on a website that does not run on Draivix?
Yes. The form sends data via the API and can be protected with a shared secret key in the request header.
Will I see submissions that did not go through?
Yes. Every submission is saved with its status—rejected ones include validation errors and failed ones include the error message.
