02What the module does
Less routine. More value.
The Email module is a full email client built right into Draivix, giving every user access to all of their personal and shared inboxes. Connect standard IMAP/SMTP mailboxes as well as Gmail and Microsoft 365 accounts, and every message appears directly on the relevant customer, project, or order. Your company's communication stays in one place, so nobody has to hunt through colleagues' inboxes.
- All inboxes in one placeEvery user can connect multiple email accounts in Draivix—personal, shared, and forwarded mailboxes—so your team never has to jump between email clients.
- Mail from different providers togetherConnect standard IMAP/SMTP mailboxes, Gmail, and Microsoft 365 accounts into a single interface. Your company does not need to standardize on one mail provider to keep everything together.
- New mail arrives almost instantlyDraivix checks for new mail every minute and delivers it almost immediately over an open server connection via IMAP IDLE, letting you respond to customer inquiries without delay.
- Conversations grouped into threadsMessages are organized into threads using email headers or the provider's conversation ID, so you can read the entire discussion with a customer in a single sequence.
- Promotional mail separated from primarySplit your inbox into Primary, Promotions, Social, and Forums categories. When helping customers, you can view only primary messages and leave the rest for later.
- Mail sorted by your rulesFor IMAP inboxes, filters match the sender, recipient, subject, and message body to move the message to a folder or skip it. The system handles repetitive sorting for your team.
- Rules work outside Draivix tooFilters are converted into Sieve, the mail server rule language, and uploaded to the mail server via ManageSieve (port 4190). Your sorting rules then apply in other email clients as well.
- Send saved drafts in bulkCompose messages using a template and attachments, then save them as drafts. You can send prepared drafts in bulk instead of sending them one by one.
- Each account sends through its own channelDraivix sends messages via the Gmail API, Microsoft Graph, or SMTP depending on the account type. You always compose emails the same way without worrying about where each inbox is hosted.
- See exactly where a message got stuckEvery outgoing email has a diagnostic log covering the request, delivery attempt, server acceptance, and storage, including any errors. If a message fails to arrive, you know right where to look.
- Find past agreements easilyWhen the pg_search extension is installed, you can run full-text inbox searches using BM25 ranking. Without it, the system matches plain text, so you can find past agreements with customers either way.
- Clean up your inbox in bulkArchive, delete, move, restore, or mark selected messages as read or unread all at once. Cleaning up a large inbox never means opening every single email one by one.
- Unread count always in viewSee the unread message count for your primary account right in the menu. You don't have to open your inbox just to check if something is waiting for you.
- Old notifications won't clutter your inboxRules based on sender and age in days determine which old notification emails get cleaned up. Inboxes stay focused on the correspondence your team actually needs.
03How it works
How it works step by step.
How it works
Draivix checks for incoming mail every minute. For IMAP mailboxes, it can also maintain an open IDLE connection so new messages appear almost instantly. Gmail and Microsoft 365 send push notifications for new mail on their own, triggering Draivix to synchronize immediately.
Read in detail
During synchronization, message headers are fetched first, while the message body is downloaded when opened or prefetched for unread emails. Synchronization never marks a message as read on the server—the read status only changes when you actually open the message.
Threads, folders, and categories
Messages are grouped into conversation threads using In-Reply-To and References headers, or by the provider's conversation ID for Gmail and Outlook. Mailbox folders (inbox, sent, drafts, trash, spam, archive, and custom folders) stay synchronized with the server.
Read in detail
Your inbox can be filtered into Primary, Promotions, Social, and Forums categories. Draivix classifies messages automatically for IMAP mailboxes and adopts Gmail labels for Gmail accounts. Each user can customize their own layout, column widths, and active folder.
Server-side filters and rules
Email filters match the sender, recipient, subject, and message body. A filter can skip a message, move it to a personal or group folder, mark it as read, or suppress notifications. Filters can apply to a single mailbox, a specific user, or the entire company.
Read in detail
For IMAP mailboxes, Draivix compiles active filters into a Sieve script and uploads it to the mail server via ManageSieve, so your rules also work in other email clients. An administrator can install standard bounce filters with a single command. Draivix email filters apply only to IMAP mailboxes, not to Gmail or Outlook accounts.
Sending and traceability
Compose messages in a template-enabled editor, attach files, and hit send. Gmail and Microsoft 365 accounts send via the provider's API, while other accounts use SMTP. For IMAP mailboxes, sent messages are also saved to the Sent folder on the server.
Read in detail
Every outbound email has a diagnostic log tracking the request, delivery attempt, server acceptance, storage, and any errors. Draivix embeds a custom header in outgoing messages so customer replies are automatically linked to the same records as the original email.
Email search
Mailbox search uses a BM25 full-text index (ParadeDB pg_search) when installed in the database, falling back to plain text matching otherwise. The index also covers the folder, account, and date, keeping filtering and sorting fast even in large mailboxes.
04What runs automatically
Automations that save time.
Mail checked every minute
Every minute, the system runs the CheckInboundEmails job to check for incoming mail. New messages arrive without anyone having to fetch them manually.
Instant inbox sync on new messages
As soon as IMAP IDLE or a push notification from Gmail or Microsoft 365 reports a change, Draivix syncs the inbox continuously. Your team always works with up-to-date mail.
Notified only for new messages
When a new message arrives, you get an in-app and browser notification. Notifications are suppressed during the initial inbox import, so connecting an account won't flood you with alerts for older mail.
Overnight cleanup of old notifications
Once enabled by an administrator, the system moves old notification emails to the trash daily at 2:00 AM according to your rules. Nothing is cleaned up unless explicitly enabled.
Failed actions retry automatically
If an action fails on the mail server, the system retries it up to five times. Your team doesn't have to deal with temporary server glitches manually.
Sync backs off when rate-limited
After an error or when a provider's rate limit is reached, Draivix postpones synchronization until later. You don't have to monitor or restart it manually.
External integrations
- Standard mail serversDraivix reads mail from standard servers via IMAP and encrypted IMAPS, including IDLE for persistent connections and fast delivery. You can connect the inboxes your company already uses.
- Sending through your serverOutgoing mail is sent via SMTP or encrypted SMTPS. Messages leave through the mail server your company already uses, keeping your email addresses unchanged.
- Server-side mail filtersSieve filters are uploaded directly to your mail server via ManageSieve. Your company's rules then sort incoming mail right on the server, not just inside Draivix.
- Gmail integrationThe Gmail API handles message sync and sending, while Google Pub/Sub reports inbox changes. Teams on Gmail work with the exact same mail inside Draivix without forwarding.
- Microsoft 365 mailMicrosoft Graph transfers messages and Graph subscriptions report inbox changes. Teams on Microsoft get new mail in Draivix without manual refreshing.
- Full-text searchThe ParadeDB pg_search extension adds BM25 full-text search to the database for searching emails in Draivix. Filtering and sorting stay fast even in large inboxes.
What the AI agent handles
The assistant reads your mail
Ask the assistant to list your emails or read a specific message (list_my_emails, read_email). You get an overview of your inbox right in the conversation.
Finds recipients by name
The assistant looks up recipients by name and selects the sending account (resolve_email_recipients, search_email_accounts). You don't have to search for addresses manually.
Drafts prepared for your review
The assistant prepares an email draft and leaves it for you to review (create_email_draft). The final decision on what gets sent to the customer stays with you.
Sends only when you say so
The assistant sends the email at your instruction (email_send). You decide when and what goes out to the customer—never the assistant on its own.
Attaches and finds files
The assistant uploads attachments to a message and searches for the attachments you need (upload_email_attachment, search_attachments). No more hunting through old emails for files.
A person approves whenever money, a customer, or an exception is involved.
05Frequently asked questions
Can I connect our existing company email accounts to Draivix?
Yes. You can connect any inbox via IMAP and SMTP, or sign in with your provider to connect a Gmail or Microsoft 365 account. Your mail stays on your server and Draivix syncs it.
How quickly do new messages appear in Draivix?
A scheduled check runs every minute. For IMAP inboxes with IDLE enabled and Gmail or Microsoft 365 accounts with push notifications, new messages appear almost instantly.
Does Draivix mark messages on the server as read?
No. Synchronization reads messages without changing their read status on the server. A message is only marked as read when you open it.
Do mail sorting rules work outside Draivix as well?
For IMAP inboxes, yes. Draivix converts your filters into a Sieve script and uploads it to the mail server, so the rules apply in other email clients too.
Can the AI assistant send emails on its own?
The assistant prepares drafts, looks up recipients, and sends messages when you ask it to. It never sends emails without your explicit instruction.
