02What the module does
Less routine. More value.
The BankingAccounting module links bank transactions with documents in Draivix. It matches every incoming and outgoing payment with an invoice, advance invoice, received invoice or payroll payout, records the payment and posts the accounting entry to the general ledger. Anything that cannot be matched automatically is flagged for manual review.
- Internal transfers stay out of the wayThe system recognizes transfers between your own bank accounts and does not look for a document. Internal money movements never clutter the queue for manual review.
- Payment symbols find the right invoiceMatching checks variable and specific payment symbols. When multiple documents match the symbols, the system selects one by score within a 60-day window so you do not have to resolve every case manually.
- Supplier payments matched by company IDOutgoing payments are matched by the supplier’s company ID and amount. The system finds the right received invoice based on whom and how much you paid.
- Foreign currency payments includedForeign currency payments are matched by amount and date within a 14-day window. International payments have their own matching rule instead of being left out.
- Payers identified by bank accountThe system also checks the payer’s bank account stored on the counterparty record, recognizing known customers or suppliers by their account number.
- Deferred payments get another chanceDeferred transactions are retried every ten minutes. If the corresponding document arrives in the meantime, you do not need to trigger matching manually.
- Payment status updates automaticallyA matched transaction creates a payment record and recalculates the status of the invoice, advance invoice, or payroll payout without manual entry.
- Bank fees and exchange rates in accountingBank payments, bank fees, and realized exchange rate differences each generate their own accounting entries, so your accountant does not have to handle them outside the system.
- Manual assignment with the same safeguardsManual assignment runs through the same payment direction and document type checks as automatic matching, preventing you from linking a payment to the wrong type of document.
- Unmatched payments never slip throughWhen no document is found for a transaction, the system sends a notification to your chosen recipients so a specific person is always responsible for unmatched payments.
- See what an invoice is missing at a glanceA badge on the bank statement item shows if a received invoice is missing an attachment or has not been extracted yet, so you know what to complete without opening every document.
- Bank-ready payment batchesGenerate payment orders from payroll payouts and export XLSX payment batches for ČSOB from received invoices instead of entering payments into your bank one by one.
- Outgoing payments prepare draft invoicesAn outgoing payment can automatically prepare a draft received invoice. You can enable this per bank account, and the draft then goes through the standard approval workflow.
03How it works
How it works step by step.
How payment matching works
For every new or updated transaction, the system follows a fixed sequence. First, it recognizes transfers between your own accounts, which do not require a matching document. Valid existing links are kept intact. Next, it looks for a matching variable and specific symbol. If multiple documents match the symbols, it selects one based on its score within a 60-day window.

For outgoing payments, it compares the supplier’s company ID and the amount. For foreign currencies, it compares the amount and date within a 14-day window. Finally, it checks the payer’s bank account against counterparty accounts. If nothing matches, it flags the transaction for manual assignment or marks it as having no document. Deferred transactions are retried against issued invoices every ten minutes. Matching against received invoices runs just as frequently once an administrator enables the scheduled job.
What happens after a match
When a transaction is matched, a payment record is created and the invoice or advance invoice recalculates its payment status. A matched payroll payout is marked as paid. A bank payment entry is posted to the general ledger. Bank fees and realized exchange rate differences each get their own accounting entries.

Every transaction is recorded only once. If posting to the general ledger fails, processing is retried automatically so no error is lost.
Manual assignment and validation
Manually assigned links follow the exact same rules as automatic ones. A transaction can be linked to only one document. An incoming payment settles an issued invoice or advance invoice. An outgoing payment settles a received invoice, a received advance invoice, or a payroll payout. A negative incoming amount is treated as a refund, not a payment. Drafts and canceled documents cannot be selected as targets.

In the transaction list, you can filter by assignment status. On bank statement items, a badge indicates if a received invoice is missing an attachment or has not had its data extracted yet. Using the Re-extract invoice button, you can send the attachment for AI data extraction. When no matching document is found for a transaction, a notification is sent to your configured recipients.
Payment orders and drafts from bank transactions
From payroll payouts, you can generate payment orders using the Send to bank button. Once debited by the bank, the transactions are automatically matched back to the payroll items. From received invoices, you can export an XLSX batch file for import into ČSOB, while old export files are automatically cleaned up.

For selected bank accounts, you can enable automatic creation of a draft received invoice from an outgoing payment. Once approved for payment, the original transaction is linked to it as a payment.
04What runs automatically
Automations that save time.
Matching runs on every payment
Every new or updated transaction is automatically checked for a match. Anything that cannot be matched is flagged for manual review, so your accountant only handles exceptions.
Automatic matching retries
Every ten minutes, deferred transactions are retried against issued invoices. A payment whose invoice was not yet in the system can match automatically later.
Received invoice matching on schedule
Once an administrator enables the job, matching against received invoices runs every ten minutes, continuously linking outgoing payments to supplier documents.
Payroll payouts matched to bank debits
Every ten minutes, bank debits are matched against payroll payouts and linked to payroll items without searching through bank statements manually.
From match straight to payment and ledger
A matched transaction creates a payment record and posts an entry to the general ledger, so nobody has to re-enter the same data into accounting.
Automatic cleanup of old export files
Every four hours, old ČSOB export files are deleted so outdated payment batches do not pile up in the system.
Alerts for unmatched payments
When no document is found for a transaction, the system sends an alert so the responsible person knows right away and can assign it manually.
Accounting tasks triggered from bank activity
In the Automation module, you can set a rule that creates a task for your accountant whenever a transaction requires manual assignment, routing exceptions straight to the person who resolves them.
External integrations
- ČSOB payment batch exportExport payments to ČSOB as an XLSX batch file ready for bank import, eliminating the need to key in received invoices for payment manually.
- Payroll payouts via Fio bankPayment orders generated from payroll payouts are sent to Fio via the Banking module, so you never have to retype them into online banking.
05Frequently asked questions
What criteria does Draivix use to match a payment?
By variable and specific symbol, by supplier company ID and amount for outgoing payments, by amount and date for foreign currencies, and finally by the payer’s bank account.
What happens to a payment that the system cannot match?
It flags the transaction for manual assignment or as having no document, sends a notification, and retries matching every ten minutes.
Can I manually assign a payment to any document?
Only to a document that matches the payment direction. An incoming payment settles an issued invoice or advance invoice; an outgoing payment settles a received invoice, received advance invoice, or payroll payout. Drafts and canceled documents cannot be selected.
Are payroll payments matched too?
Yes. Payment orders are prepared from payroll payouts, and debited bank transactions are matched back to the individual payroll items automatically.
Are bank fees and exchange rate differences posted to accounting?
Yes. Both bank fees and realized exchange rate differences generate their own entries for the general ledger.
