02What the module does
Less routine. More value.
Attendance in Draivix records employee clock-ins and clock-outs from an RFID terminal, a web browser, a phone with GPS location, or via a Bluetooth badge on a phone. From the recorded times, it compiles a monthly timesheet that goes through manager approval, payroll accountant review, export, and closing. Your company gets a single source of time tracking records that feeds directly into payroll inputs.
- Entrance terminal without user loginA kiosk attendance terminal page runs at the entrance where employees tap their RFID cards. The terminal authenticates with its own token, so no one needs to stay logged in at the device.
- Clock in from a phoneA logged-in employee can record their clock-in and clock-out in a browser or on a phone with GPS location. Your team is not tied solely to a terminal at the door.
- Phone instead of an attendance cardWhen enabled, a phone works as a Bluetooth (BLE) badge and replaces the physical attendance card. Employees only need to carry their phone.
- Automatic clock-in and clock-out detectionBased on whether a shift is open, the system automatically determines if a tap is a clock-in or a clock-out and pairs both times into a single attendance record. The employee simply taps their card, resulting in one clean row on the timesheet.
- Two taps, one recordA second card tap within 5 seconds (the default setting) is ignored, and resubmitting the same entry never creates a duplicate. Your timesheets stay free of accidental extra rows.
- Future timestamps are blockedThe system rejects any entry with a future timestamp, and an RFID terminal cannot send a backdated time at all. At the terminal, the actual time of the card tap always applies.
- Attendance schedule ready by morningEvery night, the system populates the attendance schedule based on the employee's work calendar, public holidays, and approved absences, without marking future weeks as already worked.
- Controlled manual correctionsManual attendance edits must pass review, and the monthly lock prevents changes to closed periods. The data behind your payroll inputs cannot be altered retroactively.
- Always know who has the timesheetThe monthly timesheet has five steps: the employee submits it, the manager approves it, and the payroll accountant reviews, exports, and closes it. Every step has a clear owner.
- Returned timesheets always include a reasonAt any open stage, a timesheet can be returned to the employee with a mandatory note. The employee immediately knows what to fix without having to ask around.
- Timesheets in PDF and ExcelDownload the monthly timesheet as a PDF—by default once the month is over—or export it to Excel, so you can hand over records in whichever format you need.
- Clear rules for home officeSet a monthly limit on home office days (2 by default) and the hour balance carried over to the next month (4 hours by default). Both rules are enforced directly within time tracking.
- Approvers follow your org chartA timesheet can be approved by the direct manager or anyone higher in the organizational chart. You do not need to maintain separate approval lists—it follows how your company is structured.
03How it works
How it works step by step.
How attendance is recorded
A kiosk attendance terminal page can run at the entrance. An employee taps their RFID card, and the system automatically determines whether it is a clock-in or a clock-out based on whether they have an open shift. The terminal authenticates with its own token, so it does not require a logged-in user. The card number is validated against the configured format, and a double tap within five seconds is ignored.

A logged-in employee can also clock in and out in a browser or on a phone with GPS location. If enabled, a phone can act as a Bluetooth (BLE) badge instead of a physical card. Resubmitting the same entry does not create a duplicate, and entries with a future timestamp are rejected. Because an RFID terminal cannot submit its own timestamp, backdated taps cannot get through.
Planned and actual hours in one timesheet
Every night, the system creates a monthly timesheet for active employees if one does not exist yet, and adds the schedule for the next day based on the employee's work calendar, public holidays, and approved absences. As a result, the timesheet never shows future weeks as already worked. Each card tap creates an event record, and the system pairs the clock-in and clock-out into a single attendance row.

A shift open for more than 18 hours is treated as unclosed. Manual corrections go through review, and no entries can be written into a locked month. The timesheet distinguishes day types such as regular work, lunch, business trip, vacation, sick leave, medical appointment, home office, compensatory time off, or public holiday. You can also set a monthly limit on home office days (2 by default) and the hour balance carried over to the next month (4 hours by default).
Monthly timesheet approval
The timesheet goes through five steps: the employee submits it, the manager approves it, and the payroll accountant starts the review, exports the timesheet, and closes it. Approval can be given by the direct manager or anyone higher in the organizational chart. Both the manager and the accountant can return the timesheet to the employee, always with a mandatory note. For an employee whose employment has already ended, the accountant submits the timesheet with a note.

No forward step can proceed while unapproved manual corrections are pending. Once approved by the manager, that month's attendance becomes read-only. Exporting generates an attachment under the period lock, and repeated exports do not create duplicates. You can download the monthly timesheet as a PDF—by default only after the month ends—or export it to Excel.
Configured for how your company works
In the HR settings, you define the card number format, double-tap cooldown, maximum open shift duration, pre-filling of scheduled workdays, BLE badge support, and the accountant who reviews and exports timesheets. The public holiday calendar is set to Czech holidays by default and can be switched to another country or region. Terminal buttons can be mapped to custom actions—such as a business trip, after which the day is completed only at the next clock-in.
04What runs automatically
Automations that save time.
Timesheets prepared every night
Every night, the system creates a monthly timesheet for active employees if one is still missing and adds the next day to the attendance schedule. Nobody has to set up timesheets manually.
Public holidays reflected in attendance
Once a day, the system writes public holidays into attendance records. Nobody has to enter them manually for employees, and the timesheet accounts for them automatically.
Holiday calendar two years ahead
On the first day of every month, the system synchronizes public holidays two years ahead, keeping the attendance schedule aligned with the current holiday calendar.
Timesheet status is always clear
With each step, the timesheet moves to the next status: open, waiting for manager, approved by manager, accountant review, exported, closed, or returned. You can see immediately where it is held up.
Locked for edits after approval
As soon as a manager approves the timesheet, the system locks that month's attendance against further edits. The accountant reviews the exact figures the manager saw and approved.
Follow-up rules tailored to your workflow
You can attach an automation rule to any timesheet approval step—such as notifying the accountant after export—so the follow-up process matches the way your company operates.
External integrations
- RFID terminals at the entranceRFID attendance terminals send card taps to the system over HTTP, writing entrance clock-ins and clock-outs directly into your time tracking records.
- Attendance in the employee's pocketMobile phones send attendance entries with GPS location to the system and can also act as a Bluetooth badge, so employees can handle everything with their phone.
What the AI agent handles
Worked hours on demand
An employee can ask the AI agent for a summary of their hours worked and get an immediate overview without digging through timesheets or asking payroll.
The agent finds open time slots
Ask the AI agent to find available slots in a user's calendar, saving you from scanning through the entire schedule by hand.
A person approves whenever money, a customer, or an exception is involved.
05Frequently asked questions
How can employees record attendance in Draivix?
By tapping an RFID card at a terminal, in a web browser, on a phone with GPS location, or via a Bluetooth badge on a phone. Manual entries and corrections are also possible, but they must pass review.
Does someone need to stay logged in on the attendance terminal?
No. The terminal authenticates with its own token. Alternatively, it can run under a logged-in account dedicated to the terminal.
Who approves the monthly timesheet?
First a manager based on the organizational chart, and then the payroll accountant reviews, exports, and closes the timesheet. Either of them can return the timesheet with a note.
Can attendance be edited after approval?
Once approved by the manager, that month's attendance becomes read-only. If changes are needed, the timesheet is returned to the employee with a note.
Do vacations and public holidays carry over into attendance?
Yes. An approved absence creates attendance records for the affected days, and public holidays are written into attendance automatically every day.
