02What the module does
Less routine. More value.
HR records in Draivix maintain a single profile card for every person—whether a regular employee, an invoicing contractor, or a worker on a Czech DPP or DPC agreement—linking it to their user account and manager. Contract details, departments, job positions, medical check-ups, training, assigned equipment, and travel orders all connect to this record. Your company keeps HR data and its organizational chart in one place, driving attendance and absence approvals automatically.
- Everyone in a single directoryEvery person has one HR record, whether they are a regular employee, an invoicing contractor, or working under a Czech DPP or DPC agreement. You do not have to manage people across separate lists.
- Record created automatically with the accountWhen you create a user account, the HR record is created automatically and pulls the name and email from the account. Nobody has to type the same details twice.
- Pay type and payout method on the recordOn the record, you store the pay type—monthly or hourly—and the payout method. When processing payouts, you have these details on hand for every person.
- Attendance card can be deactivatedYou record the attendance card number directly on the employee record and can enable or disable it at any time. A card that should no longer be used can be deactivated in one place.
- Org chart without manual drawingThe manager assigned on each record builds the organizational chart, which you can view on a dedicated page. You never have to maintain a separate company org chart.
- Positions and departments in orderThe organizational structure includes directories of departments and job positions as well as job descriptions. Everyone in the company uses consistent titles and role descriptions.
- Clear view of who works for youContract details are kept in a separate employment record with an active or terminated status. When someone leaves, you enter the end date of cooperation and update the status manually.
- Check-ups and training in the calendarYou log medical check-ups, training, and other events on the employee record, and their dates appear in the calendar. You no longer need a separate spreadsheet to track them.
- Know who has which laptopAssigned equipment, such as a laptop or phone, has its own record with issue and return dates. When an employee leaves, you immediately see what needs to be returned.
- Segment-by-segment travel ordersYou assemble a travel order from individual trip segments and print it to PDF using a document template. Every business trip has a standardized document ready for handoff.
- Customize lists yourselfYou can configure divisions and job titles as custom lists without programming. Your records use the exact terminology your company is used to.
- Records tailored to your needsYou can add custom fields to the employee record, such as driver's license or clothing size. You track everything your business requires without modifying the standard system.
- Sensitive data for authorized eyes onlyBased on the organizational structure, the system determines who can view the attendance and HR records of specific people. If you run multiple companies on one installation, you can further restrict access using company teams.
03How it works
How it works step by step.
Employee record
Every person has a single HR record linked to their user account. When a user account is created, the HR record is generated automatically and populated with the user's name and email. On the card, you track pay type (monthly salary or hourly wage), payout method (employee payroll, Czech DPP or DPC agreement, supplier invoice, or unpaid), division, attendance card number with an option to deactivate it, email addresses from which contractor invoices arrive, and the termination date.

Contract details are kept in a separate employment record marked as active or terminated. When an employee leaves, you enter the end date of cooperation and update the employment status manually; year-end leave rules then apply accordingly.
Organizational structure and data access
The manager listed on each employee record builds the organizational chart, which you can view on a dedicated page. The system uses this hierarchy to determine who approves absences and monthly timesheets, and who can view the attendance and HR records of specific people. If you run multiple companies under a single installation, you can assign teams to represent each company and restrict access to working hours and HR records accordingly.

The organizational structure includes directories of departments, job positions, and job descriptions. You can configure divisions and job titles as custom lists without any programming.
Medical check-ups, training, equipment and travel
Against each employee record, you track medical check-ups, training and education, and other events with due dates that appear in the calendar. Assigned equipment, such as a laptop or phone, has its own record with issue and return dates.

Travel orders are made up of individual trip segments and can be printed to PDF using a document template.
Tailored to your company
You can add custom fields to the employee record—such as driver's license category or clothing size—without altering the standard system. Print layouts for timesheets and travel orders can be customized via templates. You can also attach an automation rule to employment termination, such as creating a task for the IT administrator.
04What runs automatically
Automations that save time.
New account, new HR record
As soon as you create a user account, the system generates an HR record and populates it with the name and email from the account. You keep data in one place without retyping it.
Offboarding can trigger follow-up steps
Ending an employment relationship triggers an event that you can hook an automation rule into, such as a task for the IT administrator. An employee's departure can automatically kick off your company's standard offboarding steps.
05Frequently asked questions
Can Draivix also track external contractors and Czech DPP and DPC agreements?
Yes. Every person has a single HR record that specifies how they are paid: employee payroll, Czech DPP or DPC agreement, or supplier invoice.
How is an employee record created?
When a user account is created, the employee record is generated automatically and the name and email are copied over from the account.
How is the organizational chart maintained in Draivix?
Through the manager assigned on each employee record. This structure governs the approval of absences and timesheets as well as access to HR records.
Does Draivix track medical check-ups and training?
Yes, as records linked to the employee card with dates that appear in the calendar.
How do you record an employee's departure?
On the employee card, you enter the end date of cooperation and set the employment status to terminated. You can attach an automation rule to this event.
