02What the module does
Less routine. More value.
The module prepares service invoices from minutes worked, travel and materials issued, and manages preventive maintenance plans that generate service orders when due. Your business bills for the work actually performed and never misses a routine customer inspection. It also tracks SLA deadlines and records material issues from a technician's van.
- Invoicing based on actual workConvert a service case into a draft invoice. Line items are built from minutes worked at the applicable rate, travel and issued materials, so you bill for what was actually done.
- Multiple service cases, one invoiceCombine selected service cases for a single customer into a consolidated invoice in one currency. The customer does not get a separate bill for every visit, and you spend less time invoicing.
- No service case billed twiceEach service case can have at most one invoice, and any repeat attempt returns the existing one. A customer will never be billed twice for the same service by mistake.
- Bill time logged on tasks tooWhen service work is tracked via tasks, the service case is billed according to the time logged on those tasks. Billing matches the way your team actually records work on a job.
- Van stock issued on a stock slipMaterials recorded on a visit are issued from the technician's van via a standard stock issue slip, complete with serial numbers. You do not have to re-enter issued materials on the invoice by hand.
- Routine inspections under controlA preventive maintenance plan links equipment with a monthly interval, a preferred window and a checklist. Your customers' routine inspections stay scheduled well in advance.
- Customers confirm appointments themselvesA staff member shares a signed link that lets the customer confirm, decline or postpone the appointment. The link is never sent out by email automatically.
- Confirmed dates become work ordersOn the scheduled date, the system automatically creates a service case and a service work order from a confirmed plan. An agreed inspection never stays stuck on the calendar and goes straight into the work queue.
- SLA deadlines under constant watchEvery 15 minutes, the system updates the SLA (agreed response target) status on open service cases: on time, approaching deadline, or overdue. You can spot expiring deadlines well in advance.
- Delivery with signature and invoiceHandle goods delivery for a sales order as a field visit. Once the customer signs, the system generates a delivery note and an invoice, so you do not have to chase paperwork later.
- Know where every part came fromWhen replacing a part, the service report records both the removed and installed serial numbers. Each serial number traces back to the supplier purchase, which makes warranty claims straightforward.
- Clear overview of supplier claimsEvery supplier claim carries a status from new to closed. You can see at a glance what has been submitted, what the supplier approved or rejected, and what still needs follow-up.
- Workshop jobs and vehicles on recordWorkshop work orders, material requests, and vehicles are kept as tracking records with manually updated statuses, keeping all related details together in one place.
- Vehicles booked for each field visitBook a vehicle directly for a field visit. Everyone knows in advance which car is assigned to the trip, with no last-minute scrambling.
What is currently in progress
- Workshop work orders, material requests, and vehicles are tracking records without an automated lifecycle; their statuses are updated manually.
03How it works
How it works step by step.
Invoicing from work performed
You convert a service case in the ready-for-billing status into a draft invoice. Invoice lines are generated from the visits: minutes worked at the visit rate, travel according to the chosen billing method, and materials issued. A service case whose work is tracked on tasks is billed by the time logged on those tasks. Each service case can have at most one invoice; a repeat attempt returns the existing one.
Read in detail
A consolidated invoice combines selected service cases into a single invoice per customer and currency. If any selected service case is not ready or has already been billed, the system rejects the entire batch.
Materials from the technician's van
A technician's van is a warehouse assigned to that technician. Materials recorded on a visit are issued from it via a standard stock issue slip, including serial numbers. The issue runs once—running it again will not duplicate entries—and the issued materials carry over to the invoice.
Preventive maintenance plans
A preventive maintenance plan links a customer, address and piece of equipment with a monthly interval, preferred time window, last and next service dates, and a checklist. Every day at 7:00, the system creates internal reminder tasks (30 days before the due date by default). A staff member shares a signed link with the customer so they can confirm, decline or postpone the appointment; the link is not emailed automatically.
Read in detail
At 7:15, for confirmed plans whose due date has arrived, the system creates a field-trip service case for 8:00–10:00 on the due date along with a service order; if an open service case from that plan already exists, it does not create a new one. A technician visit is then created automatically.
SLAs, deliveries and serial numbers
Every 15 minutes, the system updates open service cases that have an SLA deadline to on time, approaching (4 hours before the deadline by default), or overdue. You can configure notifications or escalations for status changes using an automation rule.
Read in detail
Goods delivery for a sales order can be carried out as a field visit: once the customer signs, the system generates a delivery note and an invoice. When a part is replaced, the service report transfers the removed and installed serial numbers, and you can look up supplier purchases on the serial number for warranty claims. Supplier claims track the statuses new, sent, approved, rejected and closed.
04What runs automatically
Automations that save time.
SLA checked every 15 minutes
Every 15 minutes, the system checks the SLA of open service cases, up to 500 per run. Deadline statuses stay up to date without anyone reviewing them by hand.
Maintenance reminders every morning
Every day at 7:00, the system refreshes reminder tasks for preventive maintenance plans, so your team knows which customers to contact to schedule an appointment.
Scheduled service created on time
Every day at 7:15, the system creates service cases from confirmed plans that have reached their due date. If an open service case from that plan already exists, no duplicate is created.
Invoiced means completed
Once an invoice is issued, the service case moves to completed status. Work in progress stays clearly separated from jobs your company has already billed.
Supplier claims with clear status tracking
A supplier claim progresses through new, submitted, approved, rejected, or closed. Your staff updates the status as the claim develops, so everyone knows where it stands.
External integrations
- Alerts straight to your phoneThe module sends push notifications through the core platform service, delivering alerts directly to the user's phone.
05Frequently asked questions
What goes into a service invoice?
Minutes worked billed at the field visit rate, travel billed according to the selected method, and issued materials. The system prepares an invoice draft for you to review before sending.
How does preventive maintenance work?
Each plan has an interval and a next inspection date. Ahead of the due date, the system creates a reminder task, the customer confirms the date via a signed link, and on the scheduled day a service case with a field visit is created.
Does the system send the confirmation link to the customer automatically?
No. A staff member receives a reminder task and sends the customer the signed link to confirm, decline, or postpone the appointment.
Does the system alert us to SLA breaches?
Every 15 minutes, it sets the SLA status to on time, approaching deadline, or overdue. You can configure notifications on status changes using an automation rule.
Can multiple service cases be billed on a single invoice?
Yes. A summary invoice combines selected service cases for a single customer in the same currency.
