02What the module does
Less routine. More value.
Warehouse management in Draivix tracks what you hold in each warehouse and bin location, recording every change in an immutable stock movement ledger. It covers supplier receipts, customer shipments, inter-warehouse transfers, stocktakes with approval, and minimum-stock replenishment—giving your business a single place where stock quantities and values match your documents.
- Warehouses tailored to your operationsRun simple warehouses or warehouses divided into bin locations. Track capacity for each location and print location labels so warehouse staff always know where every item belongs.
- Stock picking by your rulesSet a picking strategy for each warehouse: FIFO (oldest receipt first), LIFO (newest first), FEFO (earliest expiration first), lowest price or highest price. The system selects batches accordingly.
- Lot traceability on every batchEvery stock batch stores its lot number, expiration date and serial number. Whenever you need to trace a specific lot or check upcoming expirations, the details are right on the batch.
- Delivery notes without retypingConvert a purchase order or received invoice into an inbound delivery note. There is no need to retype data, and the goods receipt stays linked to the source document.
- Goods receipts split automaticallyAn inbound delivery automatically splits into separate goods receipts—one for each warehouse and currency. You never have to manually break down a delivery spanning multiple warehouses or currencies.
- Stock never drops below zeroA goods issue reserves specific batches and checks available quantities. If there is not enough stock, the system rejects the reservation so inventory never goes negative.
- Reversals with a full audit trailReverse a standalone goods receipt with an offsetting movement as long as stock from the batch has not been used—neither reserved nor issued. The original entry stays intact and the correction appears as a new movement.
- Inter-warehouse transfers under controlA stock transfer reserves items in the source warehouse and, upon transfer, records both the issue from the source and the receipt in the destination. Reserved stock cannot be issued elsewhere in the meantime.
- Discrepancies approved by a managerEach counter works from their own count sheet, and the system prepares adjustment documents from any discrepancies. They are posted only after manager approval, so stock levels never change unchecked.
- Invoices matched against actual receiptsWhen matching a received invoice, the system checks by default that a corresponding inbound delivery note and goods receipt exist. You immediately spot any invoice for goods that have not arrived yet.
- Automated low-stock monitoringOvernight, the system checks minimum stock levels and creates draft purchase orders for any items below their minimum. You stay in control of deciding when to send them.
- Document numbering your wayConfigure the format and length of numbering series for goods receipts, goods issues and delivery notes in settings. Your documents can follow the exact numbering conventions your company already uses.
- Tracking outside total inventoryNon-stock tracking warehouses are excluded from a product’s total inventory count. You keep full records of those items without skewing your overall stock availability.
03How it works
How it works step by step.
How it works
Stock levels change only through documents: a goods receipt, goods issue, stock transfer or stocktake. Every document follows fixed statuses, and a status changes only through an approved command—never by manually overwriting a field. Posting a document records a movement in the inventory movement ledger. Once written, no ledger entry can ever be overwritten, not even directly in the database. Any correction is always a new, linked reversal entry.

Inventory is held in stock batches by warehouse, bin location, product, serial number, lot number, expiration date, currency and unit price. Quantities are calculated accurately, and every movement stores both the entered unit and its conversion to the base unit. Each document always uses a single currency.
Receiving goods from suppliers
Convert a purchase order into an inbound delivery note. If any order line is missing a product, the system rejects the conversion. From the delivery note, you generate goods receipts in a single step—one for each warehouse and currency. Once a goods receipt is posted, stock batches and entries in the movement ledger are created. As soon as all goods receipts are received, the delivery note automatically marks itself as received. You can also create a delivery note from a received invoice.

You can also create a goods receipt manually. A standalone goods receipt can be reversed with an offsetting movement as long as no stock from the batch has been reserved or issued yet. When matching a received invoice, the system checks by default that there is a matching inbound delivery note for the same purchase order and supplier, along with a posted goods receipt in the same currency.
Goods issue, reservations and transfers
An outbound delivery note creates goods issues, one for each warehouse. The delivery note itself does not move stock. Instead, the goods issue first reserves specific stock batches. The warehouse strategy determines which batches are picked: FIFO, LIFO, FEFO, lowest price or highest price. If the available quantity is insufficient, the reservation is rejected. Posting the issue then reduces the batches and records the movement, ensuring stock can never drop below zero.

A stock transfer reserves items in the source warehouse and, when executed, records a goods issue from the source and a goods receipt in the destination warehouse. A canceled document can be reopened as a draft.
Stocktake with approval
Starting a stocktake saves the expected quantity of every product in the warehouse. Each counter gets their own count sheet and closes it once counting is complete. Processing then compares the counted and expected quantities. For a shortage, the system prepares a goods issue and reserves the stock right away. For a surplus, it prepares a goods receipt priced at either the weighted average of batches or the product’s purchase price.

Adjustment documents are posted only after a manager approves them. If rejected, the stocktake returns to counting and the prepared documents are canceled. Staff can count using a mobile barcode scanner, while approval stays on the desktop.
Stock replenishment
An administrator sets up the nightly automatic purchasing job (scheduled for 2:00 AM by default). When stock for a product with automatic purchasing enabled drops below its minimum and there is no open purchase order with an unreceived quantity for it, the job creates a draft purchase order. It selects the supplier based on the lowest price, or the lowest price factoring in lead time. You can trigger the exact same process for a single product using the Order action.

04What runs automatically
Automations that save time.
Purchasing prepared overnight
The nightly automatic purchasing job, set up by an administrator, runs at 2:00 AM by default. It creates draft purchase orders for items below minimum stock, and you decide which ones to send.
Delivery notes close automatically
As soon as all goods receipts for a delivery note are posted, the system closes the delivery note automatically. Nobody has to chase it down, and your overview immediately shows what is complete.
Stocktakes prepare adjustment documents
When processing a stocktake, the system prepares an adjustment goods issue for shortages and a goods receipt for surpluses. They are posted only after approval, keeping a person in final control.
Movements fed straight into accounting
Every stock movement passes an event to inventory accounting for valuation and Intrastat (EU trade in goods statistics). Both valuation and reporting are driven by the exact same movements as the warehouse.
Warehouse events trigger next steps
Whenever a document is received, issued or transferred—or when a stocktake is completed—your custom automation rule can run. You define the next step around how your business operates.
External integrations
- Labels from your own printersSend labels for both products and bin locations straight to your label printers. You label stock and warehouse shelves consistently from a single system.
What the AI agent handles
Stock by warehouse on demand
Ask the AI assistant how much stock a product has across individual warehouses. The tool is read-only, so it never alters your inventory.
Recent product activity
Ask the AI assistant for a summary of a product’s recent movements. You see what happened to it most recently without digging through the inventory ledger.
Open stock transfers at a glance
The AI assistant lists all stock transfers that are still open. Without sifting through lists, you immediately know which inter-warehouse moves are still in progress.
Reserved but not yet issued
On request, the AI assistant shows items that are reserved but not yet issued. You can quickly spot what is sitting in the warehouse waiting to be picked and shipped.
What is running low
Ask the AI assistant which products are running low and get an instant list. You can make informed replenishment decisions without clicking through product cards.
Today’s warehouse activity
The AI assistant summarizes everything the warehouse has received and issued today. Check the day’s status with a single question instead of opening individual documents.
A person approves whenever money, a customer, or an exception is involved.
05Frequently asked questions
Can stock levels in Draivix drop below zero?
No. Both reservations and goods issues reject any movement when batches do not have enough available quantity, and a batch with zero stock is closed.
How do I correct goods received by mistake?
You reverse a standalone goods receipt with an offsetting movement, provided the items from it have not yet been reserved or issued. Entries in the movement ledger are never overwritten; a correction is always a new linked entry.
How does a stocktake work?
Starting a stocktake saves the expected quantities, counters fill in their count sheets, and processing prepares adjustment documents. Stock levels are updated only after a manager approves them.
Does the system order missing stock on its own?
A nightly job creates draft purchase orders for products below their minimum level that do not have an open order running. An administrator sets up the job, and you review every order before it is sent.
Does Draivix verify received invoices against actual goods receipts?
Yes, by default. The invoice must reference an inbound delivery note for the same purchase order and a posted goods receipt in the same currency; otherwise, the system flags an issue.
