02What the module does

Less routine. More value.

The AccountingCompliance module preserves accounting evidence that must not be altered: a hash-chained audit trail, an archive with retention periods and Intrastat declarations. Your business can prove what the system knew and when, and that no record was modified after the fact.

  • An unalterable audit trailEvery audit trail event carries a SHA-256 hash linked to the previous event. You can prove that no record was modified after the fact.
  • Tampering pinpointed immediatelyA chain check recalculates hashes and finds the first broken link. If anything does not match, you know exactly where it happened.
  • Three-layer evidence protectionEvidence is protected against editing and deletion at three levels: validation on save, permissions without write access and a hash chain.
  • Official files kept safeOfficial accounting files are archived with integrity verification. Whenever you need them, you know they match what you originally stored.
  • Retention periods you cannot shortenRetention follows the statutory 10-year period, and 30 years for payroll files. You can extend it, but never shorten it, so no file disappears before it is allowed to.
  • Originals remain untouchedRestore an archive file to a staging area and verify it. The original is never overwritten, so you can work with a copy risk-free.
  • Permission-controlled downloadsDownloading an archive file requires a dedicated permission. You decide who is allowed to download accounting files from the system.
  • Early notice of schema changesOfficial EPO, ISDOC, Intrastat and Peppol schemas are compared against pinned hashes. You know right away when an official specification changes.
  • Intrastat code lists under controlImport and verify Intrastat code lists. Your declarations always use values you have verified.
  • Declarations built from warehouse movementsIntrastat declarations are compiled directly from warehouse movements—both arrivals and dispatches of goods. You do not have to assemble them manually from separate sources.
  • CSV and XML for IntrastatExport declarations to CSV in the 2026 structure and to XML INSTAT 3.0. You then upload the file to the customs portal manually.
  • Corrections preserve the originalCorrections to Intrastat lines are added as new events while the original record stays intact. You can always look back to see what was filed and what changed.
  • Compliance at a glanceThe compliance overview includes three dashboard widgets. You can see the status of accounting evidence and checks without clicking through individual records.

03How it works

How it works step by step.

  1. Immutable audit trail

Every audit trail event carries a SHA-256 hash calculated from the previous event’s hash and its own content. A chain check recalculates all hashes and pinpoints the first place where the chain was broken. It runs on demand.

    Read in detail

Archive files, audit trail events and Intrastat lines are protected at three levels: validation on save, read-only permissions and the hash chain. Corrections are append-only, leaving the original record intact.

  2. Archive and retention periods

Official accounting files are archived with an integrity check. The retention period is at least the statutory minimum: 30 years for payroll files and 10 years for all others. You can set a longer period, never a shorter one.

    Read in detail

You restore an archive file to a staging area and verify it. The archived original is never overwritten. Downloading an archive requires a separate permission. Official specification checks compare EPO, ISDOC, Intrastat and Peppol schemas against pinned hashes.

  3. Intrastat

You import and verify Intrastat code lists. The declaration is compiled from warehouse movements marked for Intrastat, covering both arrivals and dispatches of goods. Dispatches require the partner’s VAT ID. Goods receipt data included in a declaration is locked automatically.

    Read in detail

You export the declaration to CSV in the 2026 structure or to XML INSTAT 3.0 and record proof of filing. The file is uploaded to the customs portal manually. Line corrections are added as new events.

  4. Readiness and overview

Readiness checks assess whether the company has the documents required for live accounting operations and verify the tools used during data migration. The compliance overview provides three dashboard widgets.

04What runs automatically

Automations that save time.

  1. Every entry in the chain

Every entry written to the archive or Intrastat adds an event to the hash chain. A chain check catches any subsequent tampering with these records.

  2. Goods receipts lock automatically

As soon as goods receipt data enters an Intrastat declaration, it locks automatically. Retroactive edits to a goods receipt cannot alter the declaration.

  3. New file in the archive

A rule in the Automation module notifies staff when a new archive file is added. Responsible team members know right away without having to monitor the archive.

External integrations

  • Schemas from official sourcesWhen checking schemas, Draivix pulls from official EPO, ISDOC, Intrastat and Peppol specification sources. You can detect any specification change by comparison.
  • Intrastat for the customs portalYou upload the Intrastat file to the customs portal manually. Draivix prepares the file for you, and you then record the proof of filing in the system.

05Frequently asked questions

How does Draivix prove that no one altered an accounting record?

Every event carries a SHA-256 hash linked to the previous event. A chain check reveals the exact first point where the chain would be broken.

How long are accounting files retained?

At least for the statutory retention period: 10 years, or 30 years for payroll files. You can set a longer period, never a shorter one.

Does Draivix prepare the Intrastat declaration?

Yes. It compiles the report from inventory movements and exports it to CSV in the 2026 structure or to XML INSTAT 3.0.

Does Draivix submit Intrastat directly to the customs authority?

No. You upload the file manually to the customs portal and record the proof of submission in the system.
