02What the module does

Less routine. More value.

The absence module in Draivix handles requests for vacation, medical appointments, home office, compensatory time off, and other types of leave, routing them to a manager for approval. Once approved, a request automatically updates attendance records, leave balances, and the Outlook calendar. Your company sees who is away and when, without spreadsheets or email threads.

  • See the hours as you request leaveWhen creating an absence request, the employee immediately sees a preview of how many hours it will take, calculated from their work calendar without any manual math.
  • No overlapping requestsIf a new request overlaps with another active request, the system rejects it, so approvers never have to sort out two requests for the same dates.
  • Administrators can submit requests tooAn administrator with permissions for all records can create a request on behalf of an employee, ensuring the absence is recorded even when the employee cannot submit it themselves.
  • Always clear who decidesRequests are decided by the direct manager, anyone higher in the organizational chart, or designated approvers who handle requests across all employees—so decisions never bottleneck on a single person.
  • Approve, reject, return, or cancelAn approver can approve, reject, return for completion, or cancel a request and attach a note to any decision, so the employee always knows where things stand and why.
  • Every decision stays traceableEvery decision is recorded in an immutable history—who decided, when, and with what note—so you never have to dig through emails if questions come up later.
  • A final decision stays finalIn the settings, you choose whether an already approved or rejected request can be decided again. When changes are disabled, a completed decision cannot be altered.
  • Requests notify the approver automaticallyThe approver gets an in-app notification about a new request—and an email if enabled—so the employee does not have to chase them down separately.
  • Everything updates upon approvalIn a single step, approval creates the absence record, logs attendance for the affected days, and recalculates the hour balance. Nobody has to re-enter the same data elsewhere.
  • Absences right in OutlookWhen connected to Outlook, the absence is published to the calendar and removed if canceled, so colleagues see who is away right where they plan their day.
  • Emails never sit in an unattended inboxWhile an employee is away, new incoming emails are forwarded to their team's shared address. You enable this team by team—never across the whole company at once—so colleagues can pick up incoming messages.
  • Leave balances tracked automaticallyOn January 1, the system carries unused leave over into the new year, and on June 30 it removes any carried-over hours that have not been used by then. You do not have to track leave balances manually.
  • Custom approval conditionsYou can add a custom approval condition for your company, such as a doctor's note for extended sick leave. Until the condition is met, the approval will not go through.

03How it works

How it works step by step.

  1. How a request is created

When an employee creates a request, they immediately see a preview of how many hours it will take, calculated from their work calendar. If a new request overlaps with another active request, the system rejects it. An administrator with permissions for all records can also submit a request on an employee's behalf.

Absence types cover everyday needs: vacation, illness and sick days, family care leave, medical appointments, home office, compensatory time off, unpaid leave, statutory leave, and business trips.

  2. Who can make a decision

A request is decided by the employee's manager or anyone higher in the organizational chart. You can also designate approvers who handle requests for all employees. An administrator can decide on any request, and an employee can cancel their own request. The same authorization rule applies to both the in-app button and the API. If the system cannot verify the approver, it will not allow the decision.

    Read in detail

The approver receives an in-app notification and, if enabled, an email as well. They can approve, reject, return for completion, or cancel the request, always with an optional note. Every decision is logged in an immutable history showing who decided, when, and with what outcome. Whether an already approved or rejected request can be decided again is controlled by your settings.

You can add custom approval conditions for your company—for example, requiring an uploaded doctor's note for sick leave longer than three days. Until the condition is met, the approval cannot go through.

  3. What happens after approval

In a single step, approval creates the absence record, writes attendance entries for the affected days, and recalculates the hour balance. Rejecting or canceling removes the linked absence. The system does not block requests that exceed the remaining balance, leaving that decision to the approver.

    Read in detail

When connected to Outlook, the absence is published to the calendar and removed if canceled. If you enable email forwarding and the employee's team has a shared address configured, new incoming emails for the absent employee are forwarded there for the duration of the absence. Forwarding is configured per team, never for the entire company at once.

  4. Balances, carryover, and public holidays

On January 1, the system carries unused vacation over into the new year, and on June 30, it removes any carried-over hours that have not been used by that date. Both rules can be turned off. Public holidays are synchronized two years ahead, using the Czech calendar by default.

04What runs automatically

Automations that save time.

  1. Approval logs both absence and attendance

As soon as an approver approves a request, the system creates an absence record, logs attendance for the affected days, and recalculates the balance. Nobody has to update the records by hand.

  2. Canceled requests do not stay in the records

When a request is rejected or canceled, the system removes the linked absence. Outdated absences never remain in your records.

  3. Leave carries over into the new year

Every January 1, the system carries unused leave over into the new year. If your company handles leave differently, this rule can be turned off.

  4. Carried-over hours have an expiration date

Every June 30, the system removes carried-over hours that the employee has not used by then. Balances stay up to date, and you can disable the rule if needed.

  5. Public holidays tracked by the system

Once a month, the system synchronizes public holidays two years ahead and reflects them in daily attendance. Your company no longer needs to enter public holidays manually.

  6. Emails forwarded to the team

During an absence, the system forwards new incoming emails for the absent employee to a team address. This feature is optional and ensures messages reach colleagues in the meantime.

  7. Outlook stays up to date

When an absence is created, the system publishes it to the Outlook calendar, and when someone cancels it, the entry is removed. The calendar always matches your official records.

External integrations

  • Absences in the Outlook calendarAbsences sync to the Microsoft Outlook calendar and disappear from it if canceled. You can see when colleagues are away right in the calendar you already use.
  • Company mailboxes during absenceIntegration with company email mailboxes lets you forward an absent employee's mail while they are away. Messages reach the team even when the recipient is out of the office.

What the AI agent handles

  • Request overview on demand

Ask the AI agent and it will list absence requests for you. You get an immediate overview without having to piece it together from lists.

  • My absences in a single answer

An employee can simply ask, and the AI agent summarizes their own absences. They do not have to search for anything or ask their manager.

  • Agent finds open time slots

Ask the AI agent and it will find available slots in a user's calendar. You no longer have to comb through the calendar day by day when scheduling.

A person approves whenever money, a customer, or an exception is involved.

05Frequently asked questions

Who approves leave in Draivix?

The employee's direct manager or anyone higher in the organizational structure. A company can also designate a global approver for all employees, and an administrator can decide on any request.

Can an employee request more leave than they have available?

Yes, the system does not block requests that exceed the current balance. The decision rests with the approver, and the balance is recalculated once approved.

Does approved leave carry over into attendance?

Yes. Approval creates an absence record and attendance entries for the affected days, and recalculates the remaining hours balance.

Will colleagues see the absence in Outlook?

Yes, if you use the Outlook integration. An approved absence is published to the calendar and removed if canceled.

What happens to unused leave at the end of the year?

On January 1, it is carried over into the new year. Any carried-over hours not used by June 30 are removed by the system. Both rules can be turned off.

Can approved leave be canceled?

Yes. An employee can cancel their own request, which removes the linked absence. Whether an approver is allowed to change a decision that has already been made is controlled by your settings.
