02What the module does

Less routine. More value.

Companies, contacts and activities form a shared directory of your customers and partners: companies, contact persons, tasks, meetings, calls and cases. Sales, accounting, field service and project teams all work from the same company record, so nobody keeps a separate list. From a video meeting recording, the system prepares a transcript, summary and suggested tasks that a person approves before they are executed.

  • Corporate groups clearly organizedA company record holds the legal name, type, industry and website, and organizes companies into parent and subsidiary hierarchies. Sales and accounting see the exact same data and relationships.
  • One person remains one recordYou can link a contact person to multiple companies at once. When a contact moves to another customer, you do not have to create them again—their record stays unified.
  • Know where to write and callStore multiple email addresses, phone numbers and physical addresses on a record and mark them as primary, invalid or opted out. Your team immediately sees which details are valid and which should not be contacted.
  • Customers in clear groupsAssign companies a customer type with a customer group and define a default type. Every department then segments customers by the same rules.
  • One company, one recordCombine duplicate companies with a single Merge action right on the record. A single record remains in the directory for all departments to work with.
  • Billed only with supporting dataA task carries a status, priority and type, and goes through an approval step before billing to verify supporting details. A rejected task returns to the in-progress status.
  • Clear record of what happenedTrack whether meetings and calls were held or not held and log call outcomes. Colleagues can look up what happened right in the record without having to ask around.
  • Meetings with built-in video callsSet a meeting as recurring, launch a video call from it or invite a guest via a link. The guest sees your company name and a link to your privacy policy.
  • Automatic deadline remindersThe system sends reminders for tasks, meetings and calls at the time you configure. Your team does not have to keep deadlines in their heads or separate planners.
  • Meeting notes without typingFrom a recorded meeting, the system prepares a transcript, summary and suggested tasks. Every suggestion is a draft and is executed only after a person approves it.
  • Uncertain suggestions get flaggedAI suggestions with a confidence score below the configured threshold (default 80) are flagged for closer review, so a person knows which ones need extra attention before approving.
  • Recordings restricted to participantsYou can restrict access to meeting recordings strictly to the participants of that activity, keeping sensitive discussions between those who attended.
  • Mobile sync when you want itIn settings, you can enable contact and call log synchronization from mobile devices. It is turned off by default, leaving the choice up to you.
  • Cases linked to the customerA case (Case) has a number, status and priority and is linked to both the company and its contacts. You can find every issue under the customer record and see its current status.
  • Team activity on the dashboardThe team activity performance widget shows how active the team is right on the dashboard. Management gets an overview on the home screen without building custom reports.

03How it works

How it works step by step.

  1. One company record for every department

A company record holds the name, legal name, type, industry, website and phone number. Companies can be organized into parent and subsidiary hierarchies and assigned a customer type with a customer group. A contact person can belong to multiple companies at once, so a sales rep who moves to another customer remains a single record.

    Read in detail

Email addresses, phone numbers and physical addresses are stored as individual items marked as primary, invalid or opted out. A single contact can have multiple emails and phone numbers while the system knows which one to use. Duplicate companies can be combined directly on the record using the Merge action.

  2. Tasks, meetings and calls

Each task has a status, priority, type and due date. Statuses are grouped so you can clearly see what is awaiting approval and what is ready for billing. The Approve for Billing and Reject for Billing actions verify the supporting data; a rejected task returns to the in-progress status.

    Read in detail

Meetings and calls have a status of planned, held or not held. You can log the outcome of a call, set a meeting as recurring, launch a video call from it or invite a guest via a link. Guests see your company name and a link to your privacy policy. The system sends reminders for tasks, meetings and calls every minute based on the scheduled time.

In addition to activities, the module tracks cases (Case) with a number, status, priority and type, linked to the company and contacts.

  3. AI meeting notes with human approval

When the recording provider reports a finished meeting recording, the system verifies the shared secret, transcribes the audio via Soniox, has the selected language model write a summary and suggests next steps such as a task or follow-up. Every suggestion is a draft and is only executed after human approval.

    Read in detail

Suggestions with a confidence score below the configured threshold (default 80) are additionally flagged for closer review. You can restrict access to recordings solely to the participants of that activity.

  4. Team overview and mobile devices

The team activity performance widget displays team activity on the dashboard, alongside a summary of completed calls. In settings, you can enable contact and call log synchronization from mobile devices; it is disabled by default.

    Read in detail

The system publishes status changes for tasks, meetings and calls as events that you can hook into automations—for example, notifying accounting when a task is ready for billing.

04What runs automatically

Automations that save time.

  1. Reminders sent on time

Every minute, the system finds due reminders for tasks, meetings and calls and sends them out. Notifications arrive at the time you set.

  2. Task status moves the process forward

When a task's status changes, the system logs completion details and creates an event for automations—such as alerting accounting that a task is ready for billing.

  3. Meeting outcomes trigger workflows

As soon as the outcome of a meeting or call changes, the system fires an event for follow-up workflows. The next step after a meeting then runs according to your company's rules.

  4. Recordings processed end to end

Once a finished recording is reported, the system receives, transcribes and summarizes it, and prepares suggested actions. Processing ends with a status of done or for review, and a person approves the suggestions.

  5. Lower-confidence suggestions wait for review

When a suggestion has a confidence score below the configured threshold (default 80), the system automatically flags it for closer review. The person approving immediately sees where to pay extra attention.

External integrations

  • Speech-to-text via SonioxMeeting recordings are converted to text by the Soniox service, turning spoken discussions into text used to generate a summary and suggested next steps.
  • Finished recordings report automaticallyThe video meeting recording provider sends an incoming webhook—an automatic notification that the recording is ready. The system processes it only after verifying a shared secret.
  • Summaries written by your chosen modelThe meeting summary is written by the language model you specify in settings. Your company decides which model processes your meeting content.
  • Conferencing powered by GreenlightConferencing is handled by the Greenlight backend server. Its credentials are configured in the system settings.

What the AI agent handles

  • Tasks from meeting notes

Ask the assistant and it will prepare draft tasks from your meeting notes. These are suggestions that you review and approve before they are executed.

  • Company history at a glance

The assistant summarizes recent activities for a company: calls, meetings and tasks. Before meeting a customer, you can quickly see what happened most recently.

  • Quick contact brief

On request, the assistant prepares a brief overview of a contact person—handy before a phone call when you need a quick reminder of who you are speaking with.

  • Who's who at the customer

The assistant summarizes the contact persons linked to a company. You immediately see who is on file for that customer without browsing the entire record.

A person approves whenever money, a customer, or an exception is involved.

05Frequently asked questions

Can a single contact belong to multiple companies?

Yes. Contacts are linked to companies through a many-to-many relationship, so the same person can be listed under multiple companies without creating duplicate records.

Does AI execute tasks from a meeting on its own?

No. The system prepares transcripts, summaries and task suggestions as drafts. They only take effect once a person approves them, and uncertain suggestions are flagged for closer review.

How are tasks approved for billing in Draivix?

You can approve or reject a task in the pending approval or ready for billing status right from its record page. The system verifies the supporting details and returns any rejected task to the in progress status.

Does the system send meeting reminders?

Yes. A background job runs every minute and sends due reminders for tasks, meetings and calls according to the configured time.

Can I invite someone from outside the company to a meeting?

Yes, if guest access is enabled in settings. The guest receives an invitation with a link and sees your company name and a link to your privacy policy on the meeting page.
