02What the module does

Less routine. More value.

Stream brings discussions right to the record: comments, colleague mentions, reactions, and record following. On a single timeline, you see who wrote what and when any field, status, or relation changed, so you can always trace what happened with a job or customer. Followers receive a notification whenever a new comment is added to the record.

  • Discussions right on the jobWrite comments on any record that supports Stream, and edit or delete them later. Decisions stay with the work instead of getting buried in personal emails.
  • Bring colleagues in with a mentionMention a colleague in a comment and the system sends them a notification. They know right away you need them on that record, without you having to message them separately.
  • Mute mention alerts anytimeEvery user can turn off mention notifications in their own settings. Anyone who wants uninterrupted focus can set it up themselves without involving an administrator.
  • Acknowledge with a single reactionAdd reactions to comments. When all you need is to show agreement or confirm you've seen a message, there's no need to write another comment.
  • Follow what matters to youStart or stop following a record at any time. You stay informed about activity on the jobs that matter to you, while the rest won't distract you.
  • Automatic following without clickingAuto-follow rules specify that a user automatically follows records of a given type. Nobody has to manually turn on following for every new record.
  • No alerts for your own commentsFollowers get notified of new comments, while the comment's author is not notified. People only receive alerts for messages that are new to them.
  • Full history on a single timelineThe timeline merges comments with the change history of fields, statuses, and relationships. You can trace back who wrote what and when any change occurred.
  • Line-item changes visible on the parent recordChanges to related records—like a new item added to an order—appear directly on the parent record. You don't have to open each item individually.
  • Emails and calls on the timelineImported messages from email, phone calls, and Czech data boxes (ISDS) also appear on the timeline. You read all customer communication in one continuous thread.
  • Activity across all recordsPlace Stream on your dashboard as a widget. Monitor activity across records right from your home screen without opening them one by one.
  • Workflows notify followersA workflow can send a notification to all followers of a record, or to all followers except the assigned user. Alerts go only where they should.

03How it works

How it works step by step.

  1. Comments and mentions

Write comments on any record that supports Stream. Mention a colleague and they receive a notification—which they can mute in their settings. You can also add reactions to comments, and edit or delete a comment later.

    Read in detail

Comments are meant for people. System updates about changes are stored separately in the history, keeping discussions free of automated messages.

  2. Following records

Follow or unfollow any record at any time. Followers are notified of new comments, while the comment's author is never notified of their own post. Auto-follow rules can also set users to follow records of a specific type automatically.

    Read in detail

Workflows can send notifications to all followers of a record, or to all followers except the assigned user.

  3. A single timeline

The timeline in the record's side panel combines comments with the history of field, status, and relationship changes. It even shows changes on related records—such as a new line item on an order—right on the parent record. Imported messages from email, phone calls, or a Czech data box (ISDS) appear on the timeline as well.

You can also place Stream on your dashboard as a widget to keep track of activity across records.

04What runs automatically

Automations that save time.

  1. Mentioned colleagues get notified

When you mention someone in a comment, the system sends them a notification unless they have muted mention alerts. They find out even if they don't have the record open.

  2. New comments trigger an alert

As soon as a comment is added to a record, the system notifies its followers. Nobody has to keep checking back to see if something happened on a job.

  3. Relationship changes are traceable

Whenever a record's relationship changes, the system logs it to the timeline history. Later on, you can easily see what was linked or unlinked.

  4. Following starts automatically

Based on configured rules, users automatically start following records of a specific type. They receive notifications without having to turn on following each time.

05Frequently asked questions

Can I see who changed a record's status?

Yes. The timeline combines comments with the change history of fields, statuses, and relationships, so you can see who made a change and when.

How do I alert a colleague to a record?

Mention them in a comment. Your colleague will receive a notification unless they have turned mention alerts off in their settings.

Will I get notified of new comments on a job I follow?

Yes. Followers receive notifications for new comments; the system does not notify the author of the comment.

Do emails and phone calls also show up on a customer record?

Imported messages from email, phone calls, and Czech data boxes (ISDS) are displayed on the record's timeline alongside comments.

How do I automatically follow all new records of a certain type?

Set up an auto-follow rule for that record type. The user will then follow records of that type without manual subscribing and receive notifications for new comments.

Can I see an overview of activity on my dashboard?

Yes. Add Stream to your dashboard as a widget to see new comments and changes across records.
