02What the module does

Less routine. More value.

The CRM module in Draivix tracks the entire journey from initial outreach to a closed-won deal: a prospect database indexed by company ID, incoming leads and sales opportunities with controlled stages. It gives sales reps and management a clear view of active deals, monthly forecasts and cashflow plans. Once a deal is won, you can convert it into a project and—with the Accounting module—take it all the way to a paid invoice.

  • Import with a dry-run previewWhen importing prospects—companies you plan to reach out to—the system performs a test run first and places rows with invalid or duplicate company IDs into quarantine. Data is saved only after you confirm.
  • One company ID, one companyOn every save, the system verifies that the company ID has 8 digits and is unique across both companies and prospects. The same business will never appear twice in your database.
  • Automatic lead scoringEvery lead receives an automatic score based on the details filled in. Reaching a score of 80 switches the lead to qualified, showing sales reps who to prioritize first.
  • Inquiries flow straight into CRMThe system captures inquiries via webhook—a direct connection from an external website. It checks processing consent and filters out duplicates so your sales team never works the same inquiry twice.
  • Lead to deal in a single stepConvert a lead into a contact, company and sales opportunity in one step. Attachments and contact persons carry over automatically, saving you from retyping or hunting for files.
  • Deal stages under controlAll nine opportunity stages change only via permission-controlled buttons or by dragging cards on the Kanban board. Both run the exact same checks, and nobody can overwrite the stage manually in a form.
  • No quote, no stage advanceWhen the Accounting module is enabled, an opportunity can advance past the quote stage only if a price quote exists for it. Management knows that every deal in progress has a quote on record.
  • Every customer at a glanceOn every company record you see total deal value, counts of active, won and lost deals, and your win rate. Before reaching out, you know your exact track record with that customer.
  • Month-by-month sales outlookThe monthly forecast totals opportunities with a chosen tag and places each deal’s full amount into its expected closing month. Payment status is pulled from invoices, showing what has actually been paid.
  • Edit cashflow inline in the tableThe cashflow table breaks down active and won deals by month. You can edit amounts directly in the grid and totals recalculate into your display currency, keeping your plan tied to real deals.
  • Respect do-not-call preferencesA “do not call” flag set on a company propagates to all of its leads. Sales reps will never accidentally call someone who opted out through another record for the same business.
  • Won deals become projectsConvert a won opportunity straight into a project. Delivery picks up seamlessly where sales left off, and with the Accounting module you can take it all the way to a paid invoice.

03How it works

How it works step by step.

  1. From prospect to lead

You upload your outbound company database via import. The system runs a dry run first and classifies every row: new prospect, company already in CRM (skipped), prospect already exists (offers to fill in missing details), or quarantined due to a missing or invalid company ID. Nothing is written until you confirm.

    Read in detail

The company ID is validated on every save, not just during import: it must be 8 digits long and unique across both companies and prospects. You track outreach through statuses ranging from “to contact” and the first to third email through to “interested” or “not interested”. Only an interested prospect can be converted into a lead, bringing all its activities, emails and attachments along.

  2. Leads: capture, scoring and conversion

Leads arrive from forms on your website, a partner-site inquiry webhook (which checks processing consent and prevents duplicates), imports or converted prospects. Upon creation, each lead is scored by the fields provided: email +20, phone +10, company +15, estimated value +25, industry +10. Once a contacted lead reaches a score of 80 or more, it automatically switches to qualified.

    Read in detail

Converting a lead creates a contact, a company and a sales opportunity in the qualification stage in a single step—or links to existing records. A lead marked as “dead” cannot be converted. After conversion, links to the resulting records are locked so the origin of every deal remains traceable.

  3. Sales opportunities with controlled stages

An opportunity moves through qualification, quote preparation, quote, negotiation, contract preparation and contract sent, ending as won, lost or postponed. Nobody edits the stage manually in a form: every transition is triggered by a button with its own permission, such as “Win” or “Postpone”. Dragging a card on the Kanban board triggers the exact same action and validation checks.

    Read in detail

The system prevents two users from overwriting each other’s stage changes at the same time, and repeated clicks never duplicate actions. When the Accounting module is enabled, advancing past the quote stage requires a price quote linked to the opportunity. Amounts are converted into the company’s currency, and the customer record continuously updates total deal value, counts of active, won and lost deals, and win rate.

  4. Forecasting, cashflow and sales overview

The monthly forecast totals opportunities carrying a selected tag (“Hot” by default). Each deal counts in full toward its expected closing month without probability weighting. The “paid” flag comes directly from invoices that have reached paid status. The cashflow table shows active and won deals by month; you can edit amounts inline and totals are recalculated into your display currency.

    Read in detail

The Sales Overview page features tabs for Overview (counts, stage funnel, sales rep workload, deals closing soon and overdue deals), Monthly Plan, Forecast, Quotes and Activity.

  5. Do not call: contact protection

When you mark a company as “do not call”, the system propagates that flag to all of its leads matched either by conversion link or by normalized company name without legal form. Any new lead created with the same company name receives the flag immediately. Last call and last activity timestamps on leads and opportunities update automatically from calls, meetings and emails.

04What runs automatically

Automations that save time.

  1. Scored the moment it is created

When a lead is created, the system calculates its score from the completed fields: email +20, phone +10, company +15, estimated value +25, industry +10. Sales reps immediately see how complete the lead is.

  2. Auto-qualified without manual updates

As soon as a contacted lead reaches a score of 80 or more, the system automatically switches its status to qualified. Sales reps do not need to monitor and update the status by hand.

  3. Do-not-call applied to new leads too

When you set the “do not call” flag on a company, the system copies it to all its leads, and any new lead created with the same company name inherits it immediately. The customer’s preference is never lost.

  4. Deal totals recalculate automatically

Whenever an opportunity’s stage, amount, or customer changes, deal totals on both the company and contact records recalculate automatically. The figures on the record always reflect the current state without manual updates.

  5. Deals in a single currency

Every time an opportunity is saved, the system converts its amount into your company’s base currency. You can compare and total deals across different currencies without doing your own calculations.

  6. See when the last call happened

Calls, meetings, and emails automatically update the last call and last activity timestamps on leads and opportunities. You can immediately spot deals that have been sitting idle.

  7. Every stage can trigger an action

Each opportunity stage—such as Won—fires a system event. You can hook automations directly to it so the next steps follow automatically as the deal progresses.

External integrations

  • Inquiries from the partner portalA partner website sends inquiries directly into your CRM via a webhook connection. Every inquiry requires processing consent, and the system automatically checks for duplicates.

What the AI agent handles

  • Pipeline status in a single prompt

Ask the AI agent to summarize your open opportunities. You get a clear overview of deals in progress without clicking through lists and filters.

  • Deals missing a contact person

On request, the agent finds opportunities that have no assigned contact. You can quickly fill in who you should actually be speaking with about each deal.

  • Overlooked leads

The agent finds leads with no follow-up activity. Your sales team can see prospects where nothing has happened next and reach out to them.

  • Duplicate-free lead conversion

The agent converts a lead by linking an existing company, contact, or opportunity, or creating whichever ones are missing. Repeated calls never duplicate records, keeping your CRM clean.

  • Stage changes under the same rules

The agent can trigger an opportunity stage transition, subject to the exact same permission checks as a human user. What an unauthorized user cannot do, the agent cannot do either.

A person approves whenever money, a customer, or an exception is involved.

05Frequently asked questions

Can a sales rep overwrite a deal stage manually?

No. An opportunity stage can only be changed through dedicated action buttons with their own permissions, or by dragging the card on the Kanban board, which triggers the exact same action. Every stage change is controlled and auditable.

How does Draivix score leads?

When a lead is created, the system awards points for a filled-in email (20), phone number (10), company (15), estimated value (25), and industry (10). Once contacted, a lead with a score of at least 80 is automatically switched to qualified.

Does the CRM work without the Accounting module?

Yes. When the Accounting module is enabled, opportunities from the quote stage onward also require a linked quote, and the sales forecast shows which deals have already been paid by invoice.

How is the sales forecast calculated?

The forecast takes opportunities carrying a selected tag (“Hot” by default) and counts each deal’s full amount in its expected closing month. Amounts are not weighted by probability.
