02What the module does

Less routine. More value.

Contract management in Draivix is a central register of contracts, NDAs, addenda and purchase orders linked to companies, contacts, projects and quotes. For each contract, you track line items with automatically calculated totals, a payment schedule and document text versions. In one place, you see what has been agreed with each customer, for how much and in what exact wording.

  • Contracts, NDAs and orders togetherCreate each document with the type contract, NDA (non-disclosure agreement), addendum or order. You keep all customer agreements in a single register.
  • Know what is currently in forceEach contract has a status of draft, valid, invalid, under review or archived. The archive date is set and cleared automatically based on status, so you always see where every contract stands.
  • Contracts connected to salesLink a contract to a company, contacts, a responsible owner, a project and a quote. From any contract, you can jump straight to the people and deal it belongs to.
  • Traceable chain of amendmentsEvery addendum is required to reference the contracts it amends. You can trace which document changed what and how the agreement evolved at any time.
  • Totals calculated automaticallyContract line items can reference products. The system automatically calculates the discounted amount and weight, so you never have to compute item values by hand.
  • Overview of scheduled paymentsThe payment schedule tracks planned payments and whether each one is paid or unpaid. This module does not issue invoices from it; invoicing takes place in the Accounting module.
  • Every draft has its own versionYou upload the contract text as a PDF, DOC or DOCX file, and each upload gets the next version number. The contract always displays the latest version, so you never work with outdated wording.
  • Every change has an explanationFrom the second version onward, a change note is required upon upload. Even months later, the history clearly shows what changed in the contract and why.
  • Locked wording stays unchangedA locked version can no longer be modified, and any further edit creates a new version. You can always prove the exact wording in which a contract went out for approval, was sent for signature, or was signed.
  • Reviews never slip through the cracksWhen a contract moves to review, the responsible person receives an in-app notification. They immediately know the contract is waiting for them, and nobody has to chase them down separately.
  • Dates and original location on recordOn each contract, you record the validity period, notice period, automatic renewal and storage location of the physical original. These details are kept for reference; the system does not send reminders or perform the renewal itself.
  • Contracts on both company and project recordsYou can see the contract list directly on the company record and on the project. Whenever you are dealing with a customer or a job, signed agreements are right at hand without searching the register.

03How it works

How it works step by step.

  1. Contract register

You create a contract as a draft and select its type: contract, NDA, addendum or order. You assign it to a company, contact persons, a responsible team member, and optionally a project and a quote. You record the validity period, notice period, number of days for automatic renewal and where the original document is stored.

    Read in detail

A contract's status is draft, valid, invalid, under review or archived. The archive date is set and cleared automatically based on the status. When a contract moves to review, the responsible person receives an in-app notification. An addendum must reference the contracts it amends, keeping the chain of changes traceable.

  2. Line items and payment schedule

Contract line items can reference products. Every time you save, the amount is calculated as quantity times unit price after discount (discount from 0 to 100%) and weight as quantity times unit weight. The payment schedule tracks planned payments and whether each one has been paid. The module does not issue invoices from the schedule; invoicing takes place in the Accounting module.

  3. Contract text versions

You upload the contract text as a PDF, DOC or DOCX file; the system rejects other formats and empty files. Each upload gets the next version number and replaces the current working version. From the second version onward, a change note is required. The contract record always displays the current version.

    Read in detail

A version can be locked with the reason sent for approval, sent for signature or signed. A locked version can never be modified again; any further edit creates a new version. Locking triggers the approval or signing workflow configured for your company; the default installation does not include a preconfigured workflow.

  4. Links to other modules

Contracts are visible on both the company record and the project. Linking to a quote connects the contract to your sales process in CRM and Accounting. You record the notice period and automatic renewal days for reference; this version does not send renewal reminders or execute automatic renewals.

04What runs automatically

Automations that save time.

  1. Items recalculated on save

Whenever an item is saved, its amount is calculated as quantity times discounted unit price, and its weight as quantity times unit weight. The figures always match the entered values.

  2. Archiving date set automatically

When a contract's status changes, the system sets or clears the archiving date accordingly. Nobody has to enter it by hand, and the date always matches the contract status.

  3. Notification to the responsible person

As soon as a contract moves into review, the responsible person receives an in-app notification. You do not need to notify them separately, and the contract will not go unnoticed.

  4. Versions numbered automatically

Each time you upload a text file, it receives the next version number and replaces the previous working version. That makes it clear which wording is currently active.

  5. Always the latest text on the contract

After every upload, the contract displays the latest version of the text. Anyone who opens the contract sees the current wording right away without hunting through files.

05Frequently asked questions

Can I track NDAs in Draivix?

Yes. An NDA is a contract type alongside standard contracts, amendments and orders, and it offers the same features, including text versioning.

Does the payment schedule issue invoices?

No. The payment schedule tracks planned payments and whether they have been paid. You issue invoices in the Accounting module.

Will the system alert me when a notice period is about to end?

You record the notice period and automatic renewal days on the contract. This version does not send reminders or perform automatic renewals.

How are changes to the contract text stored?

Every uploaded PDF, DOC or DOCX file becomes a new numbered version, with a required change note from the second version onward. Once a version is locked, it can no longer be modified.
