02What the module does

Less routine. More value.

The WarehouseAccounting module values inventory and posts stock movements to the general ledger under rules you approve. Your business keeps its inventory value continuously reconciled with accounting, backed by a warehouse period close that will not pass until physical counts and production are complete.

  • Every movement creates a recordEvery receipt, issue, transfer, adjustment and reversal in the warehouse creates an accounting record. The warehouse and accounting teams work with the exact same movements.
  • Tailored accounting policiesYou define accounting policies by warehouse, product, category, movement purpose, currency and period. Postings match what actually happened in the warehouse.
  • No account guessingThe most specific active policy is applied. When none applies, the system does not guess the account and the record waits, so nothing is posted blindly.
  • Separate posting for write-offsThe movement purpose—such as an inventory write-off or a sample—lets you post the same movement type to different accounts. Samples never get mixed up with regular issues.
  • Weighted average or FIFOValue inventory using weighted average or FIFO (first in, first out) according to your policy. You choose the method, and the system handles the calculation.
  • Run stops without a policyThe system temporarily values an item group without a valuation policy at the weighted average and blocks the run. You continue only after adding the policy.
  • Policy changes create new versionsAn active policy cannot be altered; a change creates a new version and deactivates the previous one. You can always prove which rules governed accounting in any given period.
  • Freight and customs in item costAllocate freight and customs duties across goods receipt lines and batches. Every item carries its exact share of landed costs.
  • Revaluation with its own documentPrepare inventory revaluation as a line-item document and post it. Every change in inventory value is backed by a traceable record.
  • Warehouse reconciled with the general ledgerThe inventory close compares movement values against the inventory account in the general ledger. You spot any discrepancy between the warehouse and accounting before closing.
  • No close without a completed stocktakeAn open stocktake or work in progress blocks the period close. Inventory value cannot be closed until all underlying records are complete.
  • Approved closes are finalA person approves or rejects the close, and an approved close cannot be changed. The closed period stays exactly as confirmed.
  • Policies from a verified fileImport policies from a validated file. You do not need to enter rules manually, and they only enter the system after verification.

03How it works

How it works step by step.

  1. Posting stock movements

Every warehouse movement—whether a receipt, issue, transfer, adjustment or reversal—is converted into an accounting entry. The accounts are determined by an accounting policy that can apply by warehouse, product, category, item accounting category, movement purpose, currency and period. The most specific valid policy is always used.

    Read in detail

When no policy applies, the system does not guess the account. The record waits until you add the policy. The movement purpose—such as an inventory write-off or a sample—lets you post the same movement type to different accounts.

  2. Inventory valuation

The valuation method is determined by a valuation policy: weighted average (default) or FIFO. It applies to a warehouse, product or category from a selected date. The default inventory account is 132000.

    Read in detail

An item group without a valuation policy is temporarily valued at the weighted average and the run is blocked until you add the policy. Active policies cannot be edited. Any change creates a new version and deactivates the previous one.

  3. Landed costs and revaluation

You allocate freight and customs duties across goods receipt lines. The allocation is stored by line and batch. Inventory revaluation is prepared as a document with line items and posted to exchange rate or revaluation gain and loss accounts according to the policy.

  4. Inventory period close

The period close compares the value of inventory movements by warehouse and movement type against the inventory account balance in the general ledger, within a default tolerance of 0.01. It also counts unvalued lines and unposted records.

    Read in detail

An open or unapproved stocktake blocks the close. If you use manufacturing, open production and work orders block it as well. A person approves or rejects the prepared close. Once approved, the close cannot be changed.

04What runs automatically

Automations that save time.

  1. From movement to accounting entry

Every recorded warehouse movement is converted into an accounting record according to its policy. Warehouse staff do not need to handle accounting, and accountants receive entries continuously.

  2. Movement waits for a policy

When a movement lacks an active policy, it waits and is processed once the policy is added. It never gets lost or ends up in a random account.

  3. Complete records first, then close

When a stocktake is open or production is in progress, the inventory close is blocked. You can only close once everything is finished.

  4. Lock the period after closing

In the Automation module, you can set a rule triggered after close approval—such as a task to lock the period. Nobody has to keep the next step in their head.

05Frequently asked questions

What methods does Draivix use to value inventory?

Weighted average (default) or FIFO. The method is defined by the valuation policy for the warehouse, product or category.

What happens if an accounting rule is missing for a movement?

The system does not guess the account. The record waits until you add the accounting policy.

Can Draivix allocate freight and customs duties into item costs?

Yes. Landed costs are allocated across goods receipt lines and batches.

How does the inventory period close work?

The value of inventory movements is compared with the inventory account in the general ledger. Open stocktakes or work in progress block the close, and a person approves the prepared close.
