02What the module does
Less routine. More value.
The Construction jobs module gives contractors full control over contract financials: the priced construction budget is drawn down by approved received invoices, and the system alerts the site manager whenever a line item exceeds the plan. Purchasing is put out to tender among suppliers, and monthly progress reports are billed to the investor using the investor’s own item wording. It builds on the Project management and accounting modules.
- Budgets down to the last sub-itemConstruction budget items have units and can be broken down into sub-items whose values roll up into summary items, giving you both the big picture and the detail.
- Spending based on approved documentsThe system always recalculates budget spending directly from approved received invoices without adding unverified figures. You work from actual documents rather than estimates or manual spreadsheets.
- Budget tracking in three bandsEach item is marked within plan up to 90% spent, near limit above 90%, and over plan once it exceeds 100%. The site manager sees at a glance where to pay attention.
- Instant alerts on budget overrunsAs soon as a budget item exceeds the plan, the project manager receives a notification and can respond while there is still time to act.
- Invoices flow straight into project costsEvery line of an approved received invoice becomes a project cost in the category matching its cost type. You never have to re-enter job costs by hand.
- Invoices without a PO in job costsAn optional setting lets you count received invoices without a purchase order as direct job costs, so your company can follow the workflow that suits it best.
- RFQs to all suppliers at onceA tender holds the suppliers, items and bid deadline. One action generates an RFQ for every supplier, saving you from preparing them one by one.
- Bids compared line by lineThe system compares supplier bids line by line and flags matches, likely matches or missing items. The buyer immediately sees the differences and must resolve any unmatched lines.
- Supplier selection with a documented reasonA contract can only be awarded after a complete comparison and with a stated reason, making it easy to show later why your company chose that specific supplier.
- From winning bid to purchase orderConvert the winning bid into a blanket purchase order linked to the project and budget items. Its number derives from the contract number, so matching related documents is effortless.
- Call-offs enforce ordered quantitiesThe system totals previous call-offs and rejects any call-off above the ordered quantity unless a reason is given. Corrections are entered as negative lines, preserving the full history.
- Progress reports calculated automaticallyA progress report loads budget items in a single action. You enter only the current quantity, and the system calculates cumulative totals, remaining balance, percentages and amounts.
- Extra work only after approvalExceeding the plan is allowed only as approved extra work with a note. Your company always knows why an item went over plan and can substantiate the additional work to the investor.
- Invoices in your investor’s wordingConvert an approved progress report into a draft invoice with the project, customer and line items in the investor’s wording. The investor receives an invoice phrased exactly as their contract expects.
03How it works
How it works step by step.
The budget and how it is drawn down
Priced project budget items (the bill of quantities) form your spending plan. Each item has a unit, quantity and price, and can be broken down into sub-items whose values add up to the investor’s summary item. Approving a breakdown that exceeds the plan requires a note.
Read in detail
Line items on approved received invoices assigned to a budget item draw down that budget. The system always recalculates spending directly from approved documents without incremental additions: consumed and remaining quantity, percentage and band—within plan (up to 90%), near limit (above 90%) and over plan (above 100%). As soon as the plan is exceeded, the project manager receives an alert.
Every line of an approved invoice becomes a project cost categorized by cost type; if the invoice loses its approval, the cost is removed. A setting lets you treat received invoices without a purchase order as direct job costs.
Supplier tenders
A tender defines the suppliers, line items and bid deadline. A single action generates RFQs—one per supplier. The system compares bids line by line and flags exact matches, likely matches or missing items. The buyer must resolve any unmatched lines, recording replacements or exclusions with an explanation.
Read in detail
A contract can only be awarded once the comparison is complete and explained, with a stated reason. The winning bid converts into a blanket purchase order linked to the project and budget items, with an order number formatted after the contract number.
Call-offs against purchase orders
A call-off draws down a purchase order line. The system totals previous call-offs and blocks any call-off that exceeds the ordered quantity unless a reason for the overrun is provided. Call-offs cannot be edited or deleted; corrections are recorded as negative lines.
Progress reports and investor invoicing
A monthly progress report loads the budget items in a single action. You only enter the current quantity; the system pulls previous quantities from approved reports and calculates cumulative totals, remaining balance, percentages and amounts. Exceeding the plan is only possible as approved extra work with a note.
Read in detail
The report moves through clear statuses: draft, submitted, returned, approved and invoiced. You convert an approved report into a draft invoice that carries over the project, customer and non-zero items in the investor’s own wording.
04What runs automatically
Automations that save time.
Budget spending recalculates automatically
Whenever a received invoice changes, the system recalculates budget spending. The figures the site manager relies on always match the current documents.
Costs follow approval status
When an invoice is approved, the system creates a project cost; if approval is revoked, it removes the cost. Only approved documents remain in your job costs.
Alert when the plan is exceeded
The moment a budget item exceeds the plan, the system notifies the project manager. Nobody has to watch spending manually, and the manager can decide what to do next.
Tenders with a clear status
Each tender moves through draft, sent, evaluation, awarded, not awarded and canceled statuses. The status updates with steps like sending RFQs, so you always know where purchasing stands.
Progress reports with a clear workflow
Each report moves through draft, submitted, returned, approved and invoiced statuses. The status updates with every step between you and the investor, so you always know where the report stands.
05Frequently asked questions
How does Draivix track construction budget spending?
You assign line items from approved received invoices to budget items. The system recalculates spending and alerts the project manager whenever the plan is exceeded.
Can the system compare supplier bids?
Yes. It compares them line by line against the tender items and flags both matches and missing items. A person selects the winning bid and records the reason.
How is an interim payment certificate invoiced?
You convert an approved certificate into a draft invoice. It pulls in items with a non-zero current quantity using the client's wording.
Can we record extra work beyond the budget?
Yes, as approved extra work with a note. Without approval, the system rejects quantities exceeding the plan.
What are call-off orders?
Gradual drawdowns against a blanket purchase order. The system tracks the ordered quantity and only accepts overruns when a reason is provided.
