02What the module does

Less routine. More value.

Recurring invoicing in Draivix automatically issues and sends scheduled invoices, while payment reminders track their settlement. Customers with unpaid invoices receive reminders before, on and after the due date. If reminders do not resolve the balance, the system alerts a designated colleague.

  • Schedules instead of manual billingIn a recurring invoice schedule, you set the customer, contacts, line items and billing period. You never have to recreate a regular invoice from scratch each period.
  • Schedules linked to dealsLink the schedule to a quote or sales order so every recurring invoice clearly shows which deal it originates from.
  • Invoices issued on timeEach day, the system issues invoices from your schedules and assigns them a number from the numbering series. Recurring billing never depends on someone remembering to run it.
  • Emails sent from your mailboxThe invoice is emailed with a PDF attachment via the mailbox and template you choose. Your customer receives it from the exact address and in the format you specify.
  • No blind resendingDelivery status is tracked for every dispatch. Uncertain deliveries are never resent blindly, so your customer will not receive the same invoice twice.
  • Automatic retries on temporary errorsAfter a temporary failure, sending is retried automatically after 5 min, 30 min and 2 h. You do not have to handle brief outages manually.
  • Test runs firstTry out a billing run in dry-run mode or restrict sending to approved addresses only. You can verify new recurring billing before it ever reaches your customers.
  • See what is going outView upcoming recurring invoices on your dashboard and preview each one as a PDF in advance. You can fix any mistakes before the document is sent.
  • Staged payment remindersReminders go out before the due date, on the due date, after the due date, and at recurring intervals. Customers receive timely nudges without you having to chase them manually.
  • A different tone for each stageEach reminder stage has its own email template, so an initial courtesy notice can sound very different from a repeated overdue demand.
  • No reminders when payment may have arrivedNo reminder is sent for an invoice when an unmatched payment for the exact balance due is sitting in the bank. Customers who have likely already paid are spared unnecessary messages.
  • Single-invoice exceptionsDisable reminders on any individual invoice—useful when you are handling a specific document with a customer personally while all other reminders continue as normal.
  • When reminders are not enoughOnce the configured number of reminders is exhausted, a designated colleague is notified. Unpaid invoices never get left to automated emails alone.

03How it works

How it works step by step.

  1. Recurring invoice schedule

On a recurring invoice schedule, you set the customer, billing and delivery contacts, line items and billing period. You can link the schedule to a quote or sales order, choose the email inbox and PDF template for sending, and deactivate schedules via a confirmed bulk action.

    Read in detail

The dashboard displays upcoming recurring invoices, and you can preview each one as a PDF in advance. The schedule list also shows converted monthly and annual totals.

  2. Daily issuing and sending

Once a day in the morning, the system finds all schedules due to issue an invoice. It prepares a draft, assigns a number from the numbering sequence and emails the invoice with its PDF attached. Every dispatch has its own status record: pending, preparing, sending, accepted, failed or uncertain.

    Read in detail

If delivery cannot be verified, the invoice is marked as uncertain rather than resent blindly, ensuring the customer never receives the same invoice twice. Temporary errors are retried after 5 minutes, 30 minutes and 2 hours. Before going live, you can test the run in dry-run mode or restrict sending to allowlisted addresses.

  3. Multi-stage payment reminders

You enable payment reminders in settings. You assign an email template to each stage: before the due date (3 days in advance by default), on the due date, after the due date, and recurring overdue reminders (every 7 days by default). Dispatch runs once a day, and each stage is sent only once per invoice.

    Read in detail

No reminder is sent for an invoice with reminders disabled, without a due date, or with no balance due. It is also skipped when an unmatched incoming payment for the exact amount due and currency is sitting in the bank, as it is likely waiting for manual matching. Reminders stop 90 days after the due date. If you set a maximum number of overdue reminders, a designated colleague receives a notification after the final one is sent.

04What runs automatically

Automations that save time.

  1. Invoices go out at 7:00

Every day at 7:00 by default, invoices are generated from schedules and sent out. Nobody has to trigger recurring billing manually.

  2. Morning reminders at 8:00

Once enabled in settings, payment reminders are sent once a day at 8:00 by default. Each reminder stage is sent only once per invoice.

  3. Due dates under control

The system checks invoice due dates every hour, keeping your overdue receivables overview up to date without manual refreshes.

  4. Automatic retries after failure

If sending fails due to a temporary error, it retries after 5 minutes, 30 minutes and 2 hours. Nobody has to step in for a brief outage.

  5. Escalation to a designated person

When all reminders have been exhausted, your designated escalation contact is notified so someone can take direct action on the unpaid invoice.

05Frequently asked questions

Does Draivix send recurring invoices on its own?

Yes. Once a day in the morning, it issues invoices from the schedules due that day, assigns document numbers and emails them with a PDF attachment.

Could a customer receive the same invoice twice?

If delivery cannot be verified, the invoice is marked as uncertain and is never resent blindly. Retries happen only after a confirmed delivery error.

When are payment reminders sent?

By default, 3 days before the due date, on the due date, after the due date, and then every 7 days. They stop 90 days after the due date.

Will a customer who has already paid still get a reminder?

No reminder is sent if there is an unmatched incoming bank payment for the exact amount due and currency. The system assumes it is waiting to be matched.

Can I turn off reminders for a specific customer?

Reminders can be turned off on each individual invoice.
