02What the module does
Less routine. More value.
The Partner portal gives your customers' contact persons a dedicated login where they see only their own company's data: service jobs, calibrations, serial numbers, loans, quotes, orders and invoices. Customers can look up statuses on their own without calling or emailing. The portal is read-only and scoped to a single company.
- Dedicated customer sign-inYour customers' contact persons get a separate portal login distinct from employee accounts. They can check statuses on their own without having to call or email you.
- Self-service visibility into service jobsThe portal displays service jobs, calibrations, calibration plans, serial numbers and loans, so customers can look up statuses without asking your team.
- Invoices and quotes at handPartners can view their documents in the quotes, orders and invoices sections, saving your team from having to look them up and forward them.
- Self-service attachment downloadsPartners can open record details in the portal and download attachments. Because the portal is read-only, they cannot create or edit records.
- Strict per-company isolationAll data in the portal is filtered to the company the partner is authorized to view. Access is scoped at the company level, so they never see other customers.
- Time-limited invitationsA team member sends the invitation by email with a configurable validity period—14 days by default—so unaccepted invitations never remain open indefinitely.
- Partners set their own passwordWhen accepting an invitation, the partner opens the link and sets their own password. Your team never has to make up passwords or email them.
- Full control over accessYou can disable and re-enable active access, or send a fresh invitation once access expires or is disabled. When a customer's team changes, you can respond immediately.
- Show only the sections that matterHide any sections you don't need in the settings so customers see only what is relevant to how you work together.
- Portal with your branding detailsConfigure a custom header label (Partner portal by default), support email and the mailbox used for outgoing invitations, so customers always know who to contact.
- Protection against password guessingLogin attempts are limited to 20 per minute, slowing down brute-force password guessing and keeping your customers' data protected.
What is currently in progress
- The portal is read-only; partners cannot create or edit records in it.
- Access can only be scoped at the company level.
- Portal sections are fixed; you can hide existing sections in the configuration, but you cannot add new ones.
- This is an early release of the module (version 0.1.0).
03How it works
How it works step by step.
What partners see in the portal
The portal features a home overview and sections for service jobs, calibrations, calibration plans, serial numbers, loans, quotes, orders and invoices. Partners can open record details and download attachments. Because all data is filtered by the company they have access to, they never see other customers.

You can hide any sections you don't need in the settings.
How to grant access
A team member creates an access record linked to a contact and company, then triggers the Send invitation action to send an email. By default, the invitation is valid for 14 days. Once the partner opens the link and sets a password, their access becomes active.
Read in detail
Access records have four statuses: invited, active, expired and disabled. You can disable and re-enable active access at any time, and send a new invitation after an access expires or is disabled.
Settings and security
The portal is disabled by default. You can configure the header label (Partner portal by default), support email, home URL, the mailbox used to send invitations, and the invitation validity period.
Read in detail
The portal uses its own login separate from employee accounts. Sign-in attempts, invitations and password changes are rate-limited to 20 requests per minute.
04What runs automatically
Automations that save time.
Invitation sent automatically
When you grant access using the Send invitation action, the system emails the partner a link—nobody has to hand over credentials manually.
Acceptance activates access
As soon as the partner accepts the invitation and sets a password, their access status switches to active, giving you a clear record of who has used their invitation.
Old invitations expire automatically
Unaccepted invitations expire once their validity period ends. The old link stops working, and you can send a new invitation whenever needed.
05Frequently asked questions
Will a customer see other companies' data in the portal?
No. All data in the portal is filtered by the company to which the partner has access.
How long is a portal invitation valid?
14 days by default. You can change the validity period in the portal settings and send a new invitation after it expires.
Can a customer create a service request in the portal?
No. The portal is for viewing service jobs, calibrations, serial numbers, loans, quotes, orders and invoices.
Do I need to enable the portal?
Yes. The portal is disabled by default and must be enabled by an administrator in the settings.
What if a partner doesn't accept the invitation in time?
The access status changes to expired. A team member can then send a new invitation, and the partner sets their password when accepting it.
Can a partner download an invoice in the portal?
Yes. In the invoices section, they can open the detail view and download attachments, provided that section is not hidden in your settings.
