02What the module does

Less routine. More value.

Asset management tracks your company's vehicles, tools, machinery, and equipment while monitoring their bookings, maintenance, inspections, and document validity. Your team sees what is available, what is reserved, and what needs attention, and the system blocks bookings that exceed available quantities.

  • All company assets in one registerTrack category, quantity, value, insurance, and the responsible person for every item. You always know what your company owns, what it is worth, and who is accountable for it.
  • Book assets right from a meetingCreate a booking manually or by adding an asset to a calendar meeting. When scheduling a meeting, you secure the equipment you need at the same time.
  • Never book more than you haveThe system compares the requested quantity against overlapping bookings for that period. It rejects any booking that exceeds available stock, so equipment conflicts are resolved upfront.
  • No booking without a valid inspectionYou can optionally require a valid inspection. If the last completed inspection failed or expires before the booking starts, the system blocks the new booking.
  • Live overview of what is availableThe system automatically updates booking statuses and recalculates whether an asset is available or reserved. Your team always sees the current status without updating it by hand.
  • Next service date in the calendarEach maintenance record carries the next service date, and the system can create a calendar event for the responsible person so it appears in their regular schedule.
  • Documented and traceable inspectionsFor every inspection, you record the outcome, certificate number and next inspection date. During an audit, you can prove the result and always know when the next one is due.
  • Documents with tracked expiration datesTrack expiration and renewal dates on asset documents, and let the system calculate their status automatically. You immediately see which documents are valid and which need renewal.
  • A log entry for every tripThe mileage log records kilometers or operating hours, the driver and the purpose of the trip. You have a clear record of who used a vehicle or machine and why.
  • Recorded handovers and returnsCondition checklist items cover both handover and return. When equipment comes back, you can easily compare its condition on return against how it left.
  • Know what needs attention firstA dashboard widget highlights assets requiring attention, ranking each issue by severity and urgency. You can see right away what to handle first.
  • Item availability over timeView how an asset’s available quantity has changed over time, making it easier to judge whether your current stock is sufficient for your business.
  • Labels for an entire selectionPrint labels for a single asset or an entire selection at once. Tag your equipment in one batch instead of printing item by item.
  • Bookings and maintenance in the calendarSee both asset bookings and maintenance in the calendar. Spot at a glance when equipment is in use or in service, and plan upcoming work accordingly.

What is currently in progress

  • Two bookings saved at the exact same instant are not checked against each other; availability is validated separately on each save.
  • The list of assets requiring attention and the quantity-over-time view check only general read permission for assets, not item-level permissions.

03How it works

How it works step by step.

  1. Asset register

Every asset item has a category, quantity, value, acquisition details, supplier, insurance, and responsible person. You can print labels for a single item or an entire selection. Accounting depreciation is handled by a separate fixed-assets module whose cards link directly to the asset item.

    Read in detail

The "Assets requiring attention" dashlet combines low stock, maintenance flags, expiring warranties, and upcoming inspection dates into clear alerts ranked by severity and urgency. For any item, you can view how its available quantity changes over time.

  2. Booking with availability checks

Create a booking manually or by attaching an asset and quantity to a calendar meeting; rescheduling or deleting the meeting automatically updates or cancels the booking. The system verifies that the end time follows the start time and that the requested quantity does not exceed what overlapping bookings already hold, rejecting any overbooking.

    Read in detail

Optionally, you can require a valid inspection: a new booking is rejected if the last completed inspection failed or expires before the booking starts. Every 15 minutes, the system advances booking statuses based on time (planned, active, completed) and recalculates available quantities and whether each asset is free or reserved.

  3. Maintenance, inspections and documents

A maintenance record logs oil, hydraulic, and electrical condition, mileage, next service date, cost, and the workshop that performed the work. The system calculates the mileage for the next service and can place a one-hour appointment on the responsible person's calendar for the service date. Inspections record the outcome, certificate number, and next inspection date, also synced to the calendar.

    Read in detail

Documents store the type, issuer, number, attachments, and issue, expiry, and renewal dates, with their validity status calculated automatically from the dates. The vehicle logbook records kilometers or engine hours, driver, destination, purpose, and cost. Handover and return checklists and condition readings document the state of an asset when lent out and returned.

04What runs automatically

Automations that save time.

  1. Availability recalculated continuously

Every 15 minutes, the system advances booking statuses based on time (planned, active, completed) and recalculates asset availability. Your overview stays in sync with what is happening right now.

  2. Bookings follow meeting changes

When you reschedule a meeting that has attached assets, the system updates the booking automatically—and cancels it if the meeting is deleted. Old meeting times never leave equipment blocked.

  3. Next due dates calculated in advance

When you save a maintenance or inspection record, the system calculates the next service and inspection dates. You no longer need to track upcoming deadlines in separate spreadsheets.

  4. Service dates added to the calendar

For any maintenance or inspection due date, the system can create a calendar event for the responsible person so it shows up in their day-to-day schedule.

  5. Document status driven by dates

Once you enter validity dates on a document, the system calculates its status automatically. Nobody has to update it manually, and you always see which documents need attention.

05Frequently asked questions

Does the system prevent double-booking the same vehicle or tool?

Yes. It rejects any booking that would exceed the available quantity for the selected period, with the sole exception of two bookings saved at the exact same instant.

Can I book an asset directly from a calendar meeting?

Yes. Add the asset and quantity to the meeting, and the booking is automatically created, updated or canceled along with it.

Does the system track service and inspection deadlines?

Yes. It calculates the next due date, creates a calendar event, and highlights upcoming deadlines in the assets-requiring-attention dashboard widget.

Does this module calculate depreciation?

No. Depreciation is handled by the Fixed assets and depreciation module in accounting, whose asset cards link to these asset items.
