02What the module does
Less routine. More value.
The Courses module manages recurring courses and training sessions for external participants: scheduled dates with capacity limits, public registration forms, waiting lists and attendance tracking. It sends out competency questionnaires before and after the course, followed by an anonymous satisfaction survey. It is designed for companies and organizations that train the public, customers or partners.
- One course, multiple sessionsYou describe the course once and simply add dates for recurring sessions, which inherit the capacity from the course. That way, you do not have to set up repeat training sessions from scratch.
- Registration right on your websiteApplicants fill out the public registration form on the course page or in a form embedded on your website. You allow embedding only for approved domains, keeping full control over where the form appears.
- The last spot goes to one personWhen two people compete for the final spot, the system fairly assigns it to only one of them. Repeat registrations by the same person for the same session do not create duplicates, keeping the attendee list accurate.
- Participant contact without retypingUpon registration, the system automatically matches the participant to an existing contact or creates a new one. You never have to retype details manually, and every participant is recorded as a contact.
- Freed spots fill immediatelyIf a session is full, the participant is placed on the waiting list. When someone cancels before the session takes place, the spot automatically goes to the person waiting the longest—no manual intervention required.
- Participants always know where they standParticipants receive an email when they register, when they join the waiting list, and when a spot opens up. Your team does not have to field questions about registration status.
- Attendance in a few clicksMark each registration as attended or absent, or use bulk update for larger groups. Attendance is recorded directly against every participant in the system.
- Pre-course questionnaireThe pre-course competency questionnaire goes out to participants ahead of time based on your schedule (3 days in advance by default). Before the course starts, you know the skill level of incoming attendees.
- Participant progress in numbersPost-course and follow-up questionnaires assess course competencies on a scale of 1 to 5 and calculate the average. That lets you compare skill levels before and after the training.
- Honest feedbackParticipants receive an anonymous satisfaction survey linked only to the session, never to an individual. That makes it easier to learn how the training really went.
- Every link works onceEach questionnaire link can be used only once. Nobody can submit the same survey twice, so repeat responses will not skew your results.
- Certificate from a templateGenerate certificates from a document template directly on the participant's registration. You do not need to copy details into a document manually, and all your certificates share a consistent look.
- Invitation to the next sessionWith a single button on the course, you create a target list of participants for a bulk email. You can then easily invite attendees to a follow-up session.
- Emails in your company's voiceCustomize the wording of all course emails using merge fields in the settings and choose which email account sends them. Participants receive messages written in your company's tone.
03How it works
How it works step by step.
Courses and sessions
A course defines the content and default capacity, while a session is a specific run with a date and a capacity inherited from the course. Every course gets a public registration URL. On the course, you also list the competencies covered in the questionnaires.
Public registration and waiting list
Applicants fill in the registration form on the public course page or in a form embedded on your website; you restrict embedding to the domains you specify. The system finds or creates a contact and registers the person for the selected session. When two people compete for the last spot, only one gets it. Submitting a repeat registration for the same person and session does not create a duplicate.
Read in detail
If a session is full, the applicant is placed on the waiting list. When someone cancels their registration for an upcoming session, the spot goes to the person who has been waiting the longest. Participants receive an email upon registration, when placed on the waiting list, and when a spot opens up.
Attendance and questionnaires
You mark attendance on each registration as attended or absent, including in bulk. The pre-course competency questionnaire is sent automatically 3 days before the session (you can customize the number of days). Once attendance is marked, the system sends the post-course questionnaire and a link to an anonymous satisfaction survey. Follow-up questionnaires and subsequent stages can be sent with a button on the session record.
Read in detail
The questionnaire rates the course competencies on a scale of 1 to 5 and calculates the average, letting you compare levels before and after the course. Each link works exactly once. Anonymous feedback is tied to the session, never to an individual.
Certificates and follow-up communication
You generate a certificate from a document template directly on the participant's registration. With a single button on the course, you can create a target list for a bulk email, such as an invitation to the next session. You can edit the wording of all course emails with merge fields in the settings and choose which email account sends them.
04What runs automatically
Automations that save time.
Questionnaires sent every morning
Every day at 7:00, the system sends pre-course questionnaires to participants of upcoming sessions. Nobody on your team has to send them by hand.
A full session never loses an applicant
When a session is full, any new registration is placed on the waiting list. You keep the applicant on record even after capacity runs out.
Waitlisted applicants move up automatically
When a participant cancels their registration for an upcoming session, the first person on the waiting list automatically moves into the open spot. Nobody has to review the waiting list manually.
Feedback triggered when attendance is marked
As soon as you mark a registration as attended, the system sends the post-course questionnaire and evaluation link. That ensures you collect feedback only from people who actually attended.
Notification on every status change
An email goes out to participants upon registration, waiting list placement, and seat assignment from the waiting list. Everyone knows the status of their spot in time.
Occupancy always up to date
Every time a registration changes, the session's occupancy is recalculated. You always see the current number of filled seats without counting them manually.
Registration link ready from the start
When you create a course, the system generates a public registration URL. You can share the link with applicants right away or embed it on your website.
External integrations
- Form on your websiteEmbed the registration form on your own website and restrict embedding to specified domains. Applicants register directly on your site while their registrations flow straight into Draivix.
- Emails from your company addressCourse emails are sent through the company email account you select in the settings, so participants receive messages directly from your address.
05Frequently asked questions
Can I put the course registration form directly on my website?
Yes. You can embed the registration form on your own website and specify in the settings which domains are allowed to display it.
What happens when a session is full?
New applicants are placed on the waiting list and notified by email. If someone cancels, the open spot goes to the person who has been waiting the longest.
How do I measure the impact of a course?
The pre-course and post-course questionnaires assess the same competencies on a scale of 1 to 5. You compare the averages before and after the course and complement them with an anonymous satisfaction rating.
Can Draivix issue certificates to participants?
A certificate is generated from a document template on the participant's registration record. You set up the template according to your own design.
