02What the module does

Less routine. More value.

Quotes and orders in Draivix take a deal from quote to sales order to invoice without retyping data. For every order, your team sees separate statuses for delivery, installation, billing and payment.

  • Quotes with variantsAdd items, discounts and additional costs to a quote, and keep multiple variants under the main quote to easily present options to your customer.
  • Sent quotes are marked as presentedExport a quote to PDF and send it out. Sending automatically marks it as presented, so sales reps always know what has already gone to the customer.
  • Online quote acceptanceSend your customer a web quote link they can accept online. You can revoke the link at any time to stay in control of what the customer sees.
  • Keep the CRM deal up to dateUpdate the linked CRM opportunity straight from the quote so sales reps never have to copy quote figures over by hand.
  • Convert selected quote lines into an orderConvert an entire quote into an order, or select only specific lines. When a customer orders only part of a quote, you do not need to create a new document from scratch.
  • Conversion without retypingThe header, line items, discounts, additional costs and attachments all carry over in a single step. The conversion completes in full or not at all, preventing half-created orders.
  • Purchasing flows straight from salesCreate a supplier purchase order directly from a quote or sales order, without re-entering the items you just sold.
  • Clear order lifecycle stepsEvery order moves through submission, confirmation, activation and completion, and can be cancelled or reopened—so everyone sees its exact stage.
  • Separate delivery and payment statusesTrack delivery, installation, billing and payment statuses independently on every order. You can see at a glance when an order is delivered but not yet paid.
  • No overwritten editsWhen multiple people work on the same order at once, one colleague's edits will not overwrite another's. Nobody loses the work they just saved.
  • Account transfers logged in historyTransfer an order to another company or owner with a permanent entry in the history log, so you can always trace who held the order and where it moved.
  • Milestone billing via advance invoicesBill an order in stages through advance invoices and close it out with a single final invoice. The customer pays progressively while all documents stay linked together.
  • Payment status driven by invoicesOptionally, an order's payment status updates automatically as its invoices are paid, letting sales reps see the payment state right on the order.

03How it works

How it works step by step.

  1. Quotes

A quote includes line items, discounts and additional costs, and can hold variants under the main quote. It carries billing and delivery contacts and exports to PDF. When you send it, its status moves from draft to presented—which can also be triggered when sending via regular email.

    Read in detail

You can generate a web quote link for the customer. When they accept it online, the acceptance is logged as an event without changing the quote status. A web quote link can be revoked at any time, and you can update the linked CRM opportunity directly from the quote.

  2. Converting to a sales order

You can convert a presented or approved quote into a sales order, either in full or for selected line items only. The header, lines, discounts, additional costs and attachments are carried over, and the quote status changes to ordered. The conversion is atomic—it either completes in full or not at all.

    Read in detail

An order can be reloaded from its quote as long as no invoice or advance invoice has been issued for it. You can also create a purchase order for a supplier directly from either a quote or a sales order.

  3. Order management

An order progresses through submission, confirmation, activation and completion, and can be cancelled or reopened. Alongside its main status, it separately tracks delivery, installation, billing (not ready, ready, invoiced) and payment (unpaid, paid, refunded). Statuses change only through dedicated actions and cannot be overwritten manually.

    Read in detail

When two people edit the same order at the same time, one person's changes will not overwrite the other's. An order can be transferred to another company or owner, with a full record kept in the history.

  4. Order billing and payments

Mark an order as ready to bill and generate an invoice from it. Before issuing the final invoice, you can bill in stages using advance invoices. Payments can also be recorded against the order, and if enabled, the order's payment status updates automatically as its invoices are paid.

    Read in detail

Quote status changes are published as events and can trigger rules in the Automation module.

04What runs automatically

Automations that save time.

  1. Presented status set automatically

When you send a quote, its status switches to presented. Optionally, this also applies when sending by email, so the status stays accurate regardless of how the quote was sent.

  2. Converted quotes are marked as ordered

Converting a quote into an order sets the quote status to ordered, so you can immediately see which quotes turned into deals.

  3. Billing status updates on invoicing

Creating an invoice switches the order's billing status to invoiced. You do not need to mark it by hand, and it is always clear what still needs to be billed.

  4. Payment status synced from invoices

When enabled, the order's payment status continuously reflects its invoices. Once an invoice is paid, you do not have to update the order manually.

  5. Quote status change as a trigger

Any change in quote status is published as an event for rules in the Automation module, letting you trigger follow-up steps tailored to your business.

What the AI agent handles

  • Quote summary in chat

The assistant summarizes a specific quote using the GetQuoteSnapshotTool. Because it has read-only access, it never alters the quote while giving you a quick overview without opening the document.

  • Latest quote for a company

The assistant finds and summarizes the latest quote for a selected company using the GetLatestAccountQuoteSnapshotTool. It is read-only, so you can safely check what you offered right before a meeting.

A person approves whenever money, a customer, or an exception is involved.
