02What the module does

Less routine. More value.

File storage is your company's file workspace right inside the system: a folder tree with permissions, uploads for even very large files, file versioning and a personal folder for quick sharing. Attachments from invoices, orders or emails are stored in the same repository, so you never have to hunt for files on a shared drive. For each record type, you can also configure a folder template that automatically organizes incoming attachments.

  • Every folder has its own permissionsStorage is a folder tree where you control who can access each folder. Keep sensitive files separate while leaving everything else accessible to the team.
  • Permission inheritance under controlTurn permission inheritance from the parent folder on or off for any folder. Standard folders inherit their settings, while sensitive ones get their own rules.
  • Interrupted uploads resume cleanlyLarge files upload in chunks and can be resumed if interrupted. A dropped connection never means starting over from scratch.
  • You set the file size limitThe maximum size for a single file defaults to 4096 MB and can be adjusted by an administrator. Tailor the limit to the files your company works with.
  • Older versions stay preservedUpload a new version to an existing file and previous versions stay saved. You can list, view and download them whenever you need to go back.
  • A private folder just for youEvery user gets a personal Magic Files folder visible only to them. Work in progress stays organized instead of scattered across shared folders.
  • Share without configuring permissionsShare files from Magic Files with signed-in colleagues via a link. You don't have to touch folder permissions when you just want to hand something over quickly.
  • Share files with people outside your companyShare any file from storage via public sharing. Ideal when someone without a system login needs to view it.
  • Attachments sort themselvesSet up a folder template for a record type—such as Contracts, Photos, and Handover Protocols—and attachments are sorted into them automatically. By default, the template is empty.
  • All attachments in one placeOn the Attachments page, browse files from every module you have access to. Attachments from invoices, orders, and emails are all in one place.
  • Clean storage after uploadsThe system cleans up temporary data created during uploads. Leftover transfer fragments never take up storage space, and nobody has to manage them manually.

03How it works

How it works step by step.

  1. Folders and permissions

File storage is organized as a folder tree. For each folder, you set who has access and enable or disable permission inheritance from the parent folder. On the Storage and Attachments pages, you can browse everything you have access to, including files created in other modules.

  2. Large file uploads and versioning

Large files are uploaded in chunks and interrupted uploads can be resumed. The maximum size of a single file is 4096 MB by default, and an administrator can change it. The system automatically cleans up temporary upload data.

    Read in detail

You can upload a new version to an existing file. Previous versions remain saved, and you can view and download them anytime.

  3. Magic Files and sharing

Every user has a personal Magic Files folder visible only to them. They can share files from it with signed-in colleagues via a link without having to configure folder permissions. Files in storage can also be shared externally through the system's public sharing mechanism.

  4. Record folders

For each record type, you can define a folder structure template—for example, Contracts, Photos and Handover Protocols for an order. The system then saves record attachments into the right folder. By default, the template is empty and record folders are not created until you configure them.

    Read in detail

Storage does not hold separate data of its own: files belong to the core system. If you disable the module, only the storage screens disappear while your files remain intact.

04What runs automatically

Automations that save time.

  1. Attachments in the right folder

When an attachment is added to a record, the system saves it to a folder based on the template configured for that record type. Nobody needs to reorganize files by hand.

  2. Chunks assembled into a single file

Once a chunked upload finishes, the system assembles the parts into a single file. Users work with the complete file without having to worry about individual chunks.

  3. Upload leftovers are cleared away

The system automatically cleans up temporary files created during uploads. Storage space is never wasted on data nobody needs anymore.

What the AI agent handles

  • Find files by asking

Ask the assistant and it will search for attachments across storage. You don't need to remember which record or folder a file is stored in.

  • Download attachments from chat

The assistant downloads the attachment you need. Ideal when you've found it in a conversation and don't want to switch over to file storage.

  • Copy attachments to another record

The assistant copies attachments to another record. Transfer supporting files from a job to an invoice, for example, without downloading and re-uploading them.

  • Attach files to a draft email

The assistant uploads an attachment to an email. Attach a file to a message right while working in chat, without switching to your inbox.

A person approves whenever money, a customer, or an exception is involved.

05Frequently asked questions

How large a file can I upload to Draivix?

Up to 4096 MB per file by default. An administrator can change this limit, and large files are uploaded in chunks.

Does the storage keep older versions of files?

Yes. You can upload a new version to an existing file, and previous versions remain available to view and download.

How can I quickly share a file with a colleague?

Save it to your Magic Files folder and send the link. Any logged-in colleague can open it without you having to change folder permissions.

Can job attachments be saved into a predefined folder structure?

Yes. Set a folder template for the record type and the system will sort attachments into the right folder. Without a template configured, folders are not created for records.
