02What the module does
Less routine. More value.
Labels and tags provide a single company-wide catalog for categorizing companies, contacts, leads, deals, tasks, quotes, invoices and other records. Because you manage tags in one place, sales and accounting use the exact same labels. Use tags to filter lists, build reports and set workflow conditions.
- Consistent labels across the companyA central catalog manages tags with their name, color and description. Sales and accounting share the same labels without creating near-duplicate tags with different spellings.
- Tags only where they belongAdministrators can restrict a tag to selected record types—such as allowing VIP only on companies and contacts—so users don't apply it where it makes no sense.
- Retire outdated tagsActivate or deactivate any tag with a single toggle to keep your catalog aligned with what the company actually uses.
- Tags across the entire systemAttach tags to 17 record types, from companies, invoices and tasks to production orders, using the same consistent labels across every department.
- Spot what matters by colorLabels are color-coded on record cards. You can spot a VIP customer or any other key marker the moment you open a record.
- Filter lists by labelLabels appear as a column in list views and can be used as filters. For example, you can pull up all partner companies without sorting through records by hand.
- Reports based on your labelsYou can also filter reports by label, viewing numbers strictly for a group you have tagged yourself, such as partners.
- Drive automation with labelsWorkflow conditions include has label and does not have label operators. For example, the system can send a quote only to companies labeled Partner.
- Case-insensitive matchingWhen assigning a label, the system matches names regardless of letter case, so “VIP” and “vip” never create two separate labels.
- Create new labels on the flyIf you type an unknown name when assigning a label, the system creates it right away. You do not need to leave your work to manage the catalog.
- Deleted labels are restored automaticallyIf you reuse the name of a previously deleted label, the system restores it instead of creating a duplicate label alongside the old one.
03How it works
How it works step by step.
One catalog for the whole company
Each tag has a name, color, description, active flag and a list of record types it applies to. For example, an administrator can restrict the “VIP” tag to companies and contacts only. Because a single catalog serves all modules, different departments won't end up creating duplicate tags with slightly different spellings.
Where you can use tags
Tags can be added to 17 record types: company, contact, lead, deal, task, product, project, email, document, invoice, quote, meeting, event, sales order, production order, call and activity. They appear as colored badges on the record card and as a column in list views.
Read in detail
When assigning a tag, the system looks it up by name regardless of letter case. It creates unknown tag names on the fly and restores previously deleted tags, while keeping the record's existing tags intact.
Filtering, reports and automation
The tags field can be filtered in both list views and reports. In workflow conditions, you can use the “has tag” and “does not have tag” operators—for instance, to send a quote only to companies tagged as Partner.
Migrating from legacy tags
Previously, companies, contacts, leads, deals and tasks stored tags as plain text lists directly on the record. Installing the module converted those values into links to the shared catalog, preserving existing labels so they can now be managed in one place.
04What runs automatically
Automations that save time.
Unknown names create a label
When assigning by name, the system automatically creates any unknown label. Users can keep working without interruption, and the new label is immediately added to the catalog.
Deleted labels come back to life
When a deleted label is assigned again, the system restores it. The catalog stays free of duplicates even if you return to a label much later.
05Frequently asked questions
Which records can have labels?
17 record types: company, contact, lead, opportunity, task, product, project, email, document, invoice, quote, meeting, event, sales order, manufacturing order, call and activity.
Can I restrict a label to specific record types?
Yes. On each label, you can select the record types where it applies.
Can labels be used in automations?
Yes. Workflow conditions include the has label and does not have label operators.
What happens if I type a label that does not exist yet?
The system creates it when you assign it. Names are compared case-insensitively, so no duplicates are created.
Will we keep the labels we previously had on companies and contacts?
Yes. Installing the module migrated existing labels on companies, contacts, leads, opportunities and tasks into links to the shared catalog.
Can I build reports based on labels?
Yes. The labels field can be filtered in reports just like in list views.
