01Process documents

Automated AI processing of invoices and documents

In most companies, someone spends time every day retyping data from PDFs into the system—invoice number, supplier, amount, due date, line items. The system can take over that work.

02What it looks like today

Today

  1. 1Invoices arrive from everywhereInvoices reach you by email, regular mail, and via the Czech data box (ISDS). You don’t have a single place where they all come together.
  2. 2Invoices get passed from person to personSomeone has to download, print, or forward every invoice to accounting before anyone can actually work with it.
  3. 3Retyping every single invoiceSomeone manually types the invoice number, supplier, amount, due date, and line items into the system—one invoice at a time.
  4. 4Approvals via email and paperInvoices are approved by email or with a signature on paper, so the approval is never recorded alongside the document in the system.
  5. 5Month-end paper chaseAt the end of every month comes the hunt for missing documents: figuring out what’s missing and who has it.

And how it works with Draivix

With Draivix

  1. 1

    Documents arrive in one place

Invoices and documents from email and the Czech data box (ISDS) come together in the system, not in personal inboxes.

  2. 2

    AI reads the data

From a PDF or scan, it extracts the supplier, company ID, document number, dates, amounts, and line items. It also works with electronic documents in the Czech ISDOC format.

  3. 3

    Verification and matching

The system matches the document to the supplier and the corresponding purchase order or job, and flags any discrepancies.

  4. 4

    One-click approval

The responsible person receives the document for approval right alongside a preview of the original. Who approved it and when stays recorded on the document.

  5. 5

    Handoff to accounting

Once approved, the document moves on to accounting in Draivix or to your accounting software, such as Pohoda.

03Less routine, more value

The system handles the routine. People focus on where they are needed.

  • Final say on every document

Responsible team members approve documents and handle exceptions. AI prepares the data and a draft, while people keep the final say.

  • The accountant stays in control of the period

The accountant reviews and closes the accounting period—focusing on actual accounting instead of retyping data.

  • Payments stay with management

Company management decides on payments. The system reads and prepares the documents; people decide on the money.

04Frequently asked questions

Have questions? Here are the answers.

Does AI post invoices completely on its own?

We don’t recommend that, and we don’t set it up that way. AI prepares the data and a draft, and a person approves the document. Manual data entry is eliminated, while human control remains.

Do we have to switch to new accounting software?

No. Draivix includes its own Czech accounting, but it can also hand off documents to the accounting software you already use. We’ll go over what makes sense for your company during a meeting.
